Job Description

About John:
I own and operate a tax law practice (IRA Lawyer PR, LLC), and a tax-related content production firm (Real Estate Tax Law PR, LLC). I pride myself on providing precise, unique & ethical legal advice/information products with unmatched client service. I am seeking a highly organized, motivated, and skilled Virtual Administrative Assistant to help run the day-to-day of my businesses so I can focus my energy on what I do best – helping my clients & customers keep what’s theirs.
Key Responsibilities:
–Email Management: Efficiently handle email correspondence, ensuring prompt replies to clients, and minimize John’s time spent on emails.
–Client Relations: Serve as a primary point of contact for clients, answering questions, and ensuring overall client satisfaction.
–Scheduling: Coordinate meetings, consultations, webinars, and speaking engagements, ensuring a seamless schedule without overlaps.
–Document Preparation: Draft, format, and review essential documents for client engagements
–Webinar Series Management: Maintain and update the website dedicated to John’s webinar series, ensuring content accuracy and user-friendly navigation.
–Venue Negotiation: Actively negotiate with venues for speaking engagements, ensuring optimal conditions and terms.
–Travel Arrangements: Plan and book all aspects of travel, from transportation to accommodation, ensuring a stress-free experience for John.
–Social Media: Monitor social media channels, engaging with relevant content, flagging important mentions, & adding & deleting contacts as appropriate.
–Data Management: Handle data entry tasks (e.g., referrals made, “gateway” contacts, etc.) and track essential metrics (e.g., referral fees owed, etc.) in an accurate and timely fashion.
–Undertake any other administrative duties as necessary to support John and the firm’s functions.
Qualifications:
–At least 2 years of experience in a virtual assistant role
–Strong Communication Skills: Must possess outstanding written and verbal communication skills in English.
–Proactivity and Independence: We value team members who take the initiative, learn continuously, and can operate efficiently without constant supervision.
–Organizational Skills: Capable of managing multiple tasks concurrently, ensuring all are completed efficiently and promptly.
–Technological Proficiency: Comfortable with Microsoft Office Suite, email software, Zoom, and Google Suite. Experience with Loom, Kartra, and Vimeo is a plus but not mandatory – willing candidates should be prepared to learn on the job.
–Problem-Solving Skills: Possess the ability to swiftly address and resolve challenges as they emerge – but also know when to ask for help.
–Discretion and Confidentiality: Since we deal with sensitive legal information, perfect integrity is essential.
