As a Virtual Administrative Assistant, you will play a pivotal role in managing client and member engagement administrative tasks and ensuring the seamless operation of virtual and in-person events, classes, and membership. This role is ideal for a proactive and organized individual who can work effectively in a remote setting, supporting a diverse range of tasks while ensuring a high level of service to clients and members.
Key Responsibilities:
Respond to client and member inquiries promptly and professionally via email/website helpdesk.
Provide accurate information to clients and members.
Maintain confidential and up-to-date client and member databases.
Email Management:
Check three times daily two email accounts
Handle customer issues, account resets, and general inquiries promptly.
Account Assistance:
Provide assistance for customer accounts, including handling account resets and inquiries.
Manage weekly newsletters and schedule their distribution.
Communication:
Manage company emails and communicate effectively with clients, members, and team members.
Collaborate with marketing and communications teams to distribute newsletters or announcements.
Marketing Support:
Updating Kartra Courses/Classes page with monthly class updates
Uploading content to the membership platform
Meeting and Event Preparation:
Ensure all necessary materials and tech setups are ready for virtual meetings, workshops, classes, and webinars.
Sending recap notes and replays to members
Set up and troubleshoot virtual class platforms for a seamless participant experience.
Feedback Collection:
Assist in gathering feedback from clients and members to enhance services.
General Administrative Duties:
Maintain an organized digital workspace
Qualifications:
Previous experience in an administrative or virtual assistant role.
Proficient in using common office software (e.g., Microsoft Office, Google Workspace) and virtual communication tools (e.g., Zoom, Skype, Kartra).
Strong organizational skills with the ability to manage multiple tasks simultaneously.
Excellent written and verbal communication skills.
Familiarity with social media platforms and basic marketing tasks.
Discretion and understanding of the sensitive nature of the business.
