### **Job Description:**
The Administrative Coordinator will play a key role in supporting the operations of our real estate investment and education business. This role involves a variety of administrative tasks to ensure smooth and efficient operations.
### **Key Responsibilities:**
– **Manage Zoom Recordings:** Handle the recording and organization of Zoom meetings and webinars.
– **Monitor Emails and Handle Communications:** Manage our inboxes, respond to inquiries, and handle communications related to our educational offerings.
– **Invoicing:** Process and manage invoicing for our educational programs and services.
– **Update Weekly Emails:** Draft, edit, and send weekly email updates to our subscribers and mentees.
– **GoHighLevel Pipelines:** Maintain and update CRM pipelines in GoHighLevel.
– **Create Calendly Links:** Set up and manage Calendly links for scheduling webinars and meetings.
– **Order Supplies:** Manage the ordering of office supplies and materials for our events.
– **Coordinate Service Professionals:** Arrange for and coordinate service professionals for property maintenance and event support.
– **Organize Emails:** Keep email communications organized and ensure timely responses.
– **Manage Travel Arrangements:** Organize travel arrangements and itineraries for in-person events and site visits.
– **Collect Financial Documents:** Gather and organize financial documents for accounting and reporting purposes.
– **Schedule Meetings:** Arrange and coordinate meetings with clients, mentees, and team members.
– **Engage with the Community:** Actively participate in community engagement activities to foster relationships and support our educational initiatives.
– **Organize and Update Notion Databases:** Maintain and update our Notion databases to ensure information is accurate and up-to-date.
### **Required Qualifications:**
– Experience in an administrative or coordinator role.
– Strong organizational skills and attention to detail.
– Proficiency in using/learning email platforms, CRM tools (such as GoHighLevel), and scheduling software (such as Calendly).
– Excellent english – both written and verbal.
– Ability to multitask and prioritize tasks effectively.
– Familiarity with virtual meeting tools such as Zoom.
– Experience with financial document management.
– Basic knowledge of real estate and/or vacation rental industry is a plus.
### **Preferred Qualifications:**
– Experience using Notion or similar project management tools.
– Previous experience in the real estate industry, particularly with Airbnb or vacation rentals.
– Strong problem-solving skills and ability to work independently.
