Virtual Administrative/Email/Schduling Assistant (Female Only)

I’m a solo tattoo artist with a strong online presence and a unique brand that values creativity, individuality, and attention to detail. We are seeking a Virtual Administrative Assistant based in the Philippines who can bring exceptional organizational skills and a systems-oriented approach to our operation. This individual will manage various administrative tasks including managing email and social media inboxes, scheduling appointments, processing payments, and continuously improving our operational efficiency. Number of points will be considered, applications that don’t do the test will be automatically rejected.

Responsibilities
Manage the Gmail inbox, organize messages, and respond in a timely and professional manner.
Schedule tattoo appointments using Calendly and manage the artist’s calendar.
Respond to DMs on Instagram and handle all related inquiries.
Process client payments accurately and securely.
Craft empathetic responses to individuals who may not fit our client profile.
Develop, implement, and improve processes and systems for better efficiency and client satisfaction.
Perform other administrative tasks as assigned.

Requirements
Proven experience as a Virtual Assistant or similar role.
Fluency in English, both written and spoken.
Proficiency in using Gmail, Calendly, and Instagram.
Ability to manage multiple tasks and prioritize work to meet deadlines.
Exceptional customer service skills with a knack for empathy and understanding.
Strong experience in process creation and improvement.
Highly organized and detail-oriented.
Ability to maintain confidentiality and demonstrate professionalism at all times.
Able to work in the required timezone.

I want to get a tattoo in remembrance of my daughter Anna. It will be 5 years in July since we lost her. She always loved birds and roses so i wanted to get a tattoo of those on my wrist with her name incorporated into it. It would be my first and only tattoo and it would mean so much to me if you could be the artist to do it as I love your style so much.
