Job Title: Full-Time Virtual Assistant (Maternity Cover)
Company: Asia Professional Speakers Singapore (APSS)
Location: Remote (Singapore Timezone)
Duration: 6 months (April to September 2024)

About APSS:
The Association of Professional Speakers Singapore (APSS) is a prestigious speakers association with over 220 members. Our monthly events, held in person in Singapore, are integral to our community’s growth and development. As our current admin goes on maternity leave in June 2024, we seek a dedicated Full-Time Virtual Assistant to seamlessly fill this role during her absence.

Job Description:
As a Full-Time Virtual Assistant, you will provide crucial administrative support to our team, ensuring the smooth operation of APSS during the maternity leave period. Your tasks will encompass managing schedules, handling emails, membership, conducting research for our events and various other administrative duties aimed at optimizing our team’s productivity and efficiency.

Responsibilities:
•Manage membership activities, including new member onboarding, renewals, database maintenance, and mailing list management
•Supporting and working closely with the Executive Members: Programming team/ SIGs Leads/ SA Team/ Convention Team (Convention from next year onwards)
•Handle email correspondence and respond to inquiries promptly and professionally
•Create announcements, emails, and social media posts to engage with our community
•Update the APSS website and member portal with relevant information and resources
•Coordinate all aspects of events, from creating landing pages to managing registrations and obtaining venue quotations
•Schedule and organize both in-person and online meetings using platforms such as Zoom
•Additional tasks may be assigned as needed to support APSS initiatives

Requirements:
•Proven experience as a Virtual Assistant or in a relevant administrative role
•Excellent organizational and time management skills
•Strong written and verbal communication skills in English
•Proficiency in Microsoft Office suite (Word, Excel, PowerPoint)
•Familiarity with WordPress, WIX, Wild Apricot, Canva, Google Forms, Zoom, and Sendfox
•Ability to work independently with minimal supervision
•High-speed internet connection and a reliable computer/laptop with a webcam
•Availability to work during regular business hours in the Singapore Timezone
•Hard working/ accommodating to deadlines

Basic Requirements:
•Fluent in English with exceptional communication and writing skills
•High-quality computer with a webcam and reliable internet connection for Zoom meetings
•Proficiency in Microsoft Excel, Word, and PowerPoint
•Ability to multitask and manage multiple projects simultaneously
•Strong attention to detail and analytical skills
•Initiative and discipline to work independently
•Uphold confidentiality and trustworthiness in handling sensitive information
•Strong desire to contribute to the growth and improvement of APSS
•Fast learning new things or platforms that can help our work
