Job Summary:
We are looking for a detail-oriented and highly organized Virtual Assistant to support our daily operations and help us maintain efficiency as we expand. The ideal candidate will have a strong background in administrative tasks, exceptional communication skills, and the ability to manage multiple responsibilities.
Key Responsibilities:
Payroll and Job Hour Entry:
Enter payroll hours daily for 35 employees.
Track job hours for 7-10 jobs daily.
Email Management:
Answer and manage 50-100 emails daily.
Prioritize and respond to emails promptly and professionally.
Google Drive Organization:
Organize and maintain our Google Drive, estimated as a 100-hour project.
Training Program Completion:
Assist in completing a comprehensive training program for all divisions of our company.
Sales Support:
Potential for cold calling and warm calling as part of sales activities on a daily basis.
Efficiency Reporting:
Report efficiency numbers on a weekly basis.
Employee Onboarding:
Facilitate the onboarding process for new employees weekly.
Manage NWPM/CL morning meetings.
Add new employees to Jobber, WhatsApp, and other relevant platforms.
Job and Invoice Tracking:
Track the completion of jobs and invoices as directed by the General Manager (GM).
Resume Screening:
Screen resumes and assist with the recruitment process.
Special Projects:
Complete special projects as assigned.
Qualifications:
Bachelor’s degree (BA) required.
High-speed internet connection.
Fluency in English with excellent verbal and written communication skills.
Ability to work PST hours, Monday to Friday.
Experience with payroll and job hour tracking.
Strong organizational skills and proficiency with Google Drive.
Ability to manage emails and prioritize tasks efficiently.
Comfortable with cold calling and warm calling for sales purposes.
Experience with employee onboarding processes.
Ability to generate and report efficiency metrics.
Proficient in using Jobber, WhatsApp, and form creation tools.
Experience in the landscape construction industry is a plus.
