Responsibilities:
Appointment Scheduling: Manage appointment bookings for IV therapy sessions, ensuring efficient utilization of clinic resources and optimal patient scheduling.
Patient Communication: Liaise with patients via phone, email, or messaging platforms to provide information about IV therapy services, answer inquiries, and confirm appointments.
Documentation Management: Maintain accurate patient records, including medical history, consent forms, treatment plans, and progress notes, in compliance with healthcare regulations.
Inventory Management: Monitor and replenish inventory of IV supplies, ensuring availability of essential equipment, fluids, and accessories for therapy sessions.
Billing and Payments: Assist in sending invoice patient payments, and billing inquiries,
Treatment Coordination: Collaborate with healthcare providers, nurses, and other staff members to coordinate patient care, scheduling IV therapy sessions, and ensuring seamless transitions between appointments.
Patient Education: Provide patients with educational materials, instructions, and resources related to IV therapy, including pre-treatment guidelines, post-treatment care, and potential side effects.
Quality Assurance: Participate in quality assurance activities, such as monitoring patient satisfaction, collecting feedback, and identifying areas for improvement in IV therapy services.
Adherence to Regulations: Ensure compliance with healthcare regulations, privacy laws (e.g., HIPAA), and best practices in IV therapy administration, maintaining confidentiality and safeguarding patient information.
Qualifications:
Previous experience in healthcare administration, medical office management, or a related field.
Familiarity with IV therapy procedures, terminology, and equipment.
Excellent communication skills, both verbal and written, with a customer-centric approach to patient care.
Proficiency in administrative tasks, including scheduling, documentation, and record-keeping.
Strong organizational skills and attention to detail, with the ability to multitask and prioritize effectively.
Knowledge of healthcare compliance regulations and patient privacy laws.
Comfort with technology and ability to use electronic health record (EHR) systems, telehealth platforms, and communication tools.
Empathy, compassion, and professionalism in interacting with patients and healthcare professionals.
Flexibility to adapt to changing priorities and patient needs in a dynamic healthcare environment.
Certification or training in medical assisting, healthcare administration, or a related field is desirable.
Working Hours:
Virtual assistants for IV therapy practices may work standard office hours or shifts that align with clinic operations. Flexibility to accommodate patient appointments and occasional evening or weekend hours may be required.
