ESSENTIAL JOB FUNCTIONS
A. Operations
– Create a Customer journey map that defines the steps in lifecycle for Clients.
– Create a candidate journey map that defines the steps in lifecycle for prospective virtual assistants.
B. Communication
– Maintain business communication with colleagues inside and outside the company via the designated communication platforms including MS Outlook, text, the client’s proprietary app, and other technologies.
– Assist in developing and tracking a priority list of outstanding projects and to do items.
– Create a website for an agency for sourcing business process outsourcing (BPO) services.
– Include any necessary search engine optimization features.
C. Collateral Creation
– Create any necessary collateral to promote the brand such as short videos that describe the benefits of virtual assistants.
D. Project Management
– Schedule to do items for completion.
– Coordinate daily with stakeholders to track the status of projects.
– Coordinate meetings using zoom or other technologies.
E. Bookkeeping
– Maintain basic bookkeeping skills to assist the executive in tracking revenue for all electronic payments received for services using accounting software.
– Reconcile records between platforms.
– Send invoices weekly as directed.
F. Reporting
– Utilize excel template and input data from lead portal and other sources to prepare a weekly report in MS Excel on business activity, capture rate, and revenue.
– Prepare other preformatted reports as needed.
G. Training
– Document various operational processes and procedures employing best practices.
– Develop training documentation on such processes and procedures.
H. Other Duties as Assigned

– The Virtual Assistant must be proficient in utilizing technology and committed to learning new computer programs to perform job functions including MS Outlook, MS Word, and MS Excel.

– Proficient in MS Office 365, and related software
– Proficient in QuickBooks
E. Physical Demands
– While performing the essential job functions, this position requires the ability to efficiently operate a personal computer. Specific vision abilities required by this job include close vision, distance vision, color vision, peripheral vision, depth perception, ability to adjust focus and prolonged periods of sitting at a desk and working on a computer.
F. Travel
– No Travel is required. The Virtual Assistant can perform all duties from a remote location with a personal computer and reliable internet connection.
G. Education and Experience
– A Bachelor or associates degree from a college or university with a relevant field of study such as business management, marketing, or communications.
– No experience is necessary.
