**Job Title:** Virtual Assistant/Office Manager

**Job Summary:**
As a Virtual Assistant for our Home Health Agency, you will play a crucial role in supporting the day-to-day administrative and organizational tasks required to ensure smooth operations. Your responsibilities will include providing administrative support to management, coordinating schedules, maintaining records, and facilitating communication between clients, healthcare professionals, and staff. Your proactive and detail-oriented approach will contribute to the efficiency and success of our agency.

**Key Responsibilities:**

1. **Administrative Support:**
– Manage and prioritize emails, phone calls, and correspondence.
– Maintain and organize digital files and documents.
– Prepare reports, presentations, and documents as needed.
– Assist in the development and maintenance of standard operating procedures.

2. **Client Interaction:**
– Handle inquiries from clients and provide excellent customer service.
– Schedule appointments and follow-up visits with clients and caregivers.
– Collect and update client information and maintain confidentiality.

3. **Staff Coordination:**
– Schedule shifts and coordinate caregiver assignments.
– Assist in onboarding new staff members and ensuring required documentation is complete.
– Maintain staff calendars and track attendance.

4. **Billing and Documentation:**
– Assist in billing and invoicing procedures.
– Ensure accurate and timely submission of documentation to relevant authorities.
– Help in maintaining client records and ensuring compliance with healthcare regulations.

5. **Communication:**
– Facilitate communication between clients, healthcare professionals, and agency staff.
– Relay messages and information accurately and promptly.
– Assist in organizing meetings and conference calls.

6. **Data Entry and Reporting:**
– Enter data into agency databases and generate reports as needed.
– Compile statistics and metrics for management review.

7. **Problem Solving:**
– Address and resolve administrative issues and challenges efficiently.
– Escalate urgent matters to the appropriate personnel.

**Qualifications:**

– High school diploma or equivalent (Associate’s or Bachelor’s degree preferred).
– Proven experience in administrative or virtual assistant roles.
– Strong proficiency in computer applications and office software (Microsoft Office Suite, Google Workspace, etc.).
– Excellent communication skills, both written and verbal.
– Exceptional organizational and multitasking abilities.

– Ability to work independently, manage time effectively, and prioritize tasks.
– Knowledge of healthcare industry and home health services (preferred but not required).

**Working Conditions:**
