Job Description

We are seeking a highly organised and proactive Virtual Personal Assistant to join the Zephyr Labs team and support team members with various administrative tasks. This remote role requires excellent communication skills, attention to detail, and the ability to manage multiple tasks efficiently. The ideal candidate will be self-motivated, reliable, and capable of working independently with minimal supervision. This role will begin as part-time with the potential to transition to full-time.

Key Responsibilities:

Outreach/Messages:
* Handle daily communications, including sending emails, managing social media messages, and other forms of outreach to ensure effective and professional interactions for clients and the core team.
* Conduct cold outreach using tools such as Waalaxy, managing prospect responses, and prioritising high-quality meetings.
* Support meeting follow-ups and engage with other accounts on our clients’ social media platforms.

Data Entry:
* Accurately input, update, and maintain information in databases or spreadsheets, ensuring the integrity and confidentiality of all data.

Scheduling Content Creation:
* Assist in planning and scheduling content creation activities, including coordinating with content creators, setting deadlines, and ensuring timely delivery of content.

Research Tasks:
* Conduct detailed online research on various topics as directed, compile findings, and present them in a clear and concise manner.
* Perform prospect research and adhoc market research as it arises.

Reporting:
* Create weekly reports for clients based on work completed, liaising with relevant team members to collate information.

Qualifications:
* Proven experience as a Virtual Assistant, Administrative Assistant, or similar role.
* Excellent English written and verbal communication skills.
* Proficiency in using office software (e.g., Google Workspace, Notion) and social media platforms.
* Familiarity with automation/AI tools for optimising outreach.
* Strong organisational skills with the ability to manage multiple tasks and projects simultaneously.
* Ability to work independently, prioritise tasks, and meet deadlines.
* High level of discretion and professionalism.
* High proficiency in English and professional communication.

Working Conditions:
* This is a remote position, allowing for a flexible work schedule.
* Communication will primarily be via email, video calls, and slack.
* Must be available to work on Australian time zones.
