Job Description

We are an entrepreneurial and consulting firm looking for a detail-oriented, highly organized, and proactive Virtual Assistant (VA) to support our busy CEO across a series of startup projects in adtech, brand safety/disinformation, generic drug repurposing and artificial intelligence. This role requires excellent communication skills, an ability to manage multiple tasks simultaneously, and a knack for identifying ways to improve processes and efficiency and leverage emerging technologies.

Responsibilities:

Manage the executive’s calendar, including making appointments and prioritizing the most sensitive matters.
Coordinate logistics for meetings and events, including venue selection, travel arrangements, and guest lists.
Manage email inboxes, responding to inquiries, and sorting mail.
Facilitate communication with clients and internal teams, maintaining polite and professional communication via phone, e-mail, and mail.
Lead generation and qualification, including researching potential leads and qualifying them based on predetermined criteria.
Update and manage CRM system, including data entry, report generation, and follow-ups.
Prepare sales materials and presentations, customizing them as per client requirements.
Conduct market research and analyze sales data to support business development efforts.
Handle administrative tasks such as document management, expense report organization, and other operational tasks as required.
Assist with personal errands and tasks as requested.
Qualifications:

A minimum of 2 years of experience as a Virtual Assistant or similar role.
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace (Gmail, Docs, Sheets, Slides).
Experience with CRM software, such as Salesforce or HubSpot.
Excellent written and verbal communication skills in English.
Ability to work independently and take initiative in a dynamic environment.
Exceptional organizational skills and the ability to multitask.
High level of professionalism and confidentiality.
High-speed, reliable internet connection.
