Job Overview:
We are seeking a highly organized, proactive, and efficient Virtual Assistant to support CEO, Dr. Roderick S Cooper, in the day-to-day operations of our businesses and life. The ideal candidate should be self-motivated, detail-oriented, and able to manage multiple tasks effectively. This individual should be constantly looking for ways to improve efficiency and reduce stress for the CEO. The virtual assistant will be responsible for managing my calendar, scheduling appointments, providing customer service calls, managing the online apparel business, recording, tracking, and helping to place all of the ideas of Dr. Roderick S Cooper into action. As well as organizing my daily business and personal operations.

Job Type: Full-time min 30 hours/week
Compensation: $4.75 USD/hour
• Key Responsibilities:
-Manage and create calendar and schedule appointments according to recommended preferences
-Schedule dinners and other meetings with vendors, family, and team
• Ensure that I am prepared and on time for meetings and events and other responsibilities of my life.
• Data Entry and working with applications like Google Sheets.
• File Management – Organize, and rename files and folders.
• Respond to emails professionally and arrange them according to priority.
• Provide customer service as the first point of contact send emails and texts to customers weekly
• Manage contact lists and organize Managers’ calendars.
• Workflow management – assist in managing numerous projects at once and monitor the development of each team
member.
• Regular research on the latest trends, competition, and events that are significant in dentistry.
• Attend virtual meetings if possible and screen record such meetings, take down minutes of the meeting, and cascade them to the team in a detailed manner.
• Conduct market research and report on the results.
• Prepare presentations.
• Consistently create standard operating procedures for directions in executing tasks.
• Other ad hoc tasks.
• Writing: the creation of SOPs, client correspondence, and content. Transcribing notes into ideas and putting them in place upon research and direction
• Record and type up any meetings that I have and deliver to me to complete tasks or remember.
• Create meeting agendas and other documents for business or personal purposes.
• Create an action items list for team members using a template or other suggested avenues.
• Online Management:
-Manage online store for apparel
-Monitor and respond to all social media post as well as new followers
• Customer Service and Client Management:
-Answer customer service emails and inquiries (responsible for company general inbox)
-Manage all email accounts as directed.
• Time Management and Prioritization:
-Help prioritize tasks and projects, ensuring optimal use of time
-Assist in setting goals, tracking progress, and adjusting priorities as needed
• Research and Reporting:
-Conduct research on industry trends, potential clients, and competitors to support business decisions
-Prepare and present reports, presentations, and briefings for me as needed.
• Conduct practice analysis on other dental offices as directed
• Create the systems and SOP for my clothing line and assist in running and shipping orders for the online store.
• Create an Online store for our new T-shirt line
Qualifications
• -Proven experience as an Operations Associate, Administrative/Personal Assistant, or a similar role
• Expert-level English written and verbal communication skills.
• High-level organizational & follow-up skills.
• Excellent documentation skills.
• Embraces change and enjoys interactions.
• Up to date with the latest technical software, project management tools, and many more.
• Ability to manage a calendar and schedule appointments.
• Strong time management skills and the ability to multitask.
• Ability to work in a fast-paced environment.
• Willing to work with purpose and intent.
• – C1 English (C2 preferred)
– 1 year as an EA, PA, or VA
– 50 wpm typing speed

– Ability to handle large volumes of information, organize and prioritize

• Excellent written and verbal communication skills
