We are seeking a skilled Virtual Assistant to join our homecare agency’s administrative team. This role primarily involves supporting administrative tasks, HR functions, and providing exceptional customer service to clients and caregivers. As a Virtual Assistant, you will play a crucial role in ensuring smooth operations and excellent service delivery.
Responsibilities:
Administrative Support:
Manage calendars, schedule appointments, and coordinate meetings.
Handle correspondence, phone calls, and emails.
Maintain accurate records and databases.
Assist with billing, invoicing, and basic accounting tasks.
HR Tasks:
Assist in recruitment processes, including posting job openings and scheduling interviews.
Onboard new caregivers, ensuring all required documentation is completed.
Maintain personnel records and handle employee inquiries.
Customer Service:
Act as the primary point of contact for client inquiries and concerns.
Schedule client appointments and coordinate caregiver assignments.
Ensure exceptional customer service standards are met at all times.
Data Management and Reporting:
Compile reports and presentations as needed.
Organize and maintain electronic and paper files.
General Support:
Provide general administrative support to management and other team members as needed.
Handle special projects and initiatives as assigned.
Requirements:
Proven experience as a Virtual Assistant or relevant administrative role.
Strong organizational and multitasking skills.
Excellent communication skills, both written and verbal.
Proficiency in MS Office and Google Suite.
Experience in HR tasks such as recruitment and onboarding is a plus.
Familiarity with homecare or healthcare industry practices is advantageous.
Ability to work independently and remotely with minimal supervision.
High school diploma or equivalent; additional qualifications in Administration or HR are a plus.
