Responsibilities:
1. Efficient CRM Management: Utilize Booking Koala and other CRM systems to manage customer data, track appointments, and ensure seamless organization of customer interactions.
2. Appointment Scheduling: Handle incoming calls and emails, book appointments, and maintain the appointment calendar efficiently to maximize business productivity.
3. Communication Mastery: Interact with clients in a professional and friendly manner, answering inquiries, providing necessary information, and ensuring high levels of customer satisfaction.
4. Cold Calling: Initiate outbound calls to potential clients and conduct lead generation to expand our client base.
5. Virtual Coordination: Collaborate with team members using communication tools such as High and Slack to ensure smooth workflow and effective information exchange.
6. Task Prioritization: Manage tasks effectively to meet deadlines and prioritize work based on the urgency and business needs.
7. Data Entry: Accurately record and update customer information, appointment details, and other relevant data in the CRM system.
8. Problem Solving: Identify and resolve issues related to appointment scheduling, customer inquiries, and CRM usage to optimize efficiency.
9. Adaptability: Demonstrate flexibility in handling changing work requirements and adapt to new technologies and tools as needed.
Requirements:
• Proven experience in Virtual Assistance and CRM management, particularly with Booking Koala or similar systems.
• Excellent verbal and written communication skills, with a natural ability to communicate confidently and professionally over the phone.
• Strong organization and time-management skills to handle multiple tasks simultaneously and meet deadlines.
• Proficiency in using communication tools like High and Slack for virtual collaboration.
• Ability to conduct cold calling and lead generation to support business growth.
• Detail-oriented with a focus on accuracy in data entry and task completion.
• Demonstrated ability to work independently, taking ownership of assigned responsibilities.
• Reliable internet connection and a suitable remote work setup to ensure seamless communication and workflow.
