Here’s a short intro to our organization.
Brenda Bence International is a Singapore-based company which is 100% American owned. A business-to-business (B2B) company, “BBI” provides professional services of executive leadership coaching, professional keynote speaking, corporate training, and corporate advisory services to clients from many of the world’s largest and most well-known corporations.

Since inception in 2002, Brenda has coached 1,000 executives and spoken to tens of thousands of people around the globe. She has been inducted into the Professional Speaker Hall of Fame, and is also an author who has written 11 books and co-authored four additional books.
We are very much a B2B business where we interact with clients, deliver the content/service, and continue to create a positive impact in global companies around the world.
Who you would be working with.
Brenda is a creative person who enjoys doing big-picture work and focusing on client service and delivery. Brenda works closely with her husband and business partner, Daniel Jackman, who – since joining the company in 2007 – has been handling the operational/administrative side of the business (finance, accounting, contracting, legal, IT, etc.).
Brenda has an MBA from Harvard Business School and Daniel has an MBA from the University of Chicago (Booth School of Business). Both Brenda and Daniel had successful careers working for large companies. People who work with BBI say that Brenda and Daniel run the business like an SME (it’s entrepreneurial, quick, full of new ideas, and has a fun “family” environment) but with good corporate professional structures, standards, and values in place. We also have another team member, Jagdish Gill, Senior Associate, who has been working with BBI for more than nine years.
In addition to the above three team members, we have been using a network of “contractors”/freelancers who have specific skill sets like editing, graphic design, book marketing, etc. Many of our freelancers have worked with us since 2007. Our business continues to grow and thrive, so we need more help! We are looking for a full-time Virtual Assistant to be part of this ongoing fun and enjoyable team.
We do not want to micromanage you. We want to be able to tell you what needs to be done and give you the deadline for the tasks, and you will need to plan your time so that the tasks get done.
Ideally, you would work on the following time schedule:
• Monday to Friday: 9 am to 6 pm – Singapore time (Lunch hour: 12 pm to 1pm)
• Saturday and Sunday: Days off
• We would coordinate with you for public holidays, based on your location and Singapore holidays.
**If we need you to work outside of working hours, we will compensate you with time off.
**If you need to take leave or time off during working hours, please just inform us in advance, and we can plan around it.
How life would look for you as our VA.
Although you’ll be working remotely, there might be chances that we’ll need you to travel to Singapore (or other countries, as need be). If that happens, air ticket and accommodation are paid for. No worries about that!
You’ll be working very closely with Brenda and the rest of the team. We believe in discussing openly when you face situations or challenges, instead of keeping quiet and then letting things go wrong. Also, if you have ideas on how things can be better, we want to hear them and have a discussion around them!
You must also be open to growing yourself as a professional because we as a company will do new things, and that means you will have the opportunity to learn new skills. Also, you must be prepared to lead others and work with our other remote team members (e.g., video producer, graphic designer, typesetters, etc.) as business needs require.

Examples of your responsibilities.
Here is a list of the kinds of work you would do as our VA, but this is not a final list. There is so much for us to do at BBI – it will never be “boring” because the types of projects we work on will change!
• Regularly communicate and collaborate with team members and other third-party vendors.
• Manage Brenda’s calendar, liaising with clients in time zones around the world, to schedule meetings, either virtually or in person.
• Set up Zoom calls and send links for appointments, online presentations, and client webinars.
• Set up and input client data into our proprietary, web-based coaching stakeholder management system.
• Update weekly trackers: client meeting status, business development status, social media tracker, testimonials, travel, etc.
• Manage Brenda’s travels, including coordinating with her to set up itineraries and events.
• Update WordPress website and blog.
• Research and select timely topics to engage email subscribers; prepare and schedule e-newsletters for distribution through Constant Contact.
• Create/edit PowerPoint slides for client keynote speaking and training programs.
• Support social media post preparation and listing.
• Download and organize transcriptions of audio files.
• Review videos and suggest clips for YouTube (Brenda is a regular guest on podcasts).
• Create simple graphics for events and/or work with our graphics team member to develop visuals.
• Support launches when Brenda releases a new book.
• Help to create systems and processes to strengthen our organization and make it easier to execute.
• Continuously discover and implement new technologies or methods to maximize efficiency/productivity.
• And other projects as they come up!

You are the ideal candidate for us if you are …
• A self-starter, proactive, who can work independently, and take initiative. Disciplined to do the work requested (no chasing up for work to be done).
• Fluent in English – excellent command of both written and oral communication.
• Familiar with Microsoft Office 365 Suite/software (Word, Excel, Outlook, PowerPoint, OneDrive), and Adobe Acrobat, Google Docs/Drive.
• Familiar with/use a Windows 11 computer with a web camera and have a reliable, consistent internet speed connection (we will connect/communicate through Zoom/MS Teams).
• Excellent with follow-through on assignments – nothing falls through the cracks.
• Highly organized (you will likely be a “list maker”) – someone who stays aware of and on top of all tasks that need to be done and can prioritize them appropriately (or ask us which projects are most important to make sure you are working on the most important things first).
• A proactive, quick and curious learner.
• Responsive (speedy, as need be) yet thorough.
• Accurate. You have an “eagle-eye” and a strong attention to detail.
• Experienced in website management (WordPress knowledge is a plus).
• Knowledgeable in newsletter distribution (Constant Contact experience is a nice-to-have).
• Open in communication, a good team player, and you have a positive “can-do” attitude.
• Fluent in social media apps (can learn them, as need be).
• Willing to uphold the company’s commitment to excellence and professionalism.
• Respectful of the confidentiality of our client base, highly professional and discrete with information.
• Able to demonstrate a strong desire to improve and grow with the team.
• Comfortable asking questions on tasks if something isn’t clear. We are here to support you as much as you will be supporting us!
Compensation:
We are transparent around compensation: We will pay fairly for the right person! 1,600 – 2,400 USD / month
