Job Description:

As a virtual assistant for a mortgage broker, your primary responsibility will be to support the broker in various administrative and operational tasks. You will play a crucial role in ensuring the smooth operation of the mortgage brokerage business and providing excellent service to clients. The following are key responsibilities and qualifications for the role:

Responsibilities:

Client Communication: Act as a point of contact for clients, answering inquiries via email, phone, or messaging platforms. Provide timely responses and assist clients with basic queries related to mortgage applications, documentation, and processes.
Data Entry and Management: Input client information accurately into databases or CRM systems. Maintain organized and up-to-date client records, loan files, and documentation.
Document Preparation: Assist in preparing and organizing documents required for mortgage applications, including loan agreements, disclosure forms, and financial statements. Ensure all documents are completed accurately and submitted on time.
Scheduling and Calendar Management: Manage the broker’s calendar by scheduling appointments, meetings, and follow-ups with clients, lenders, and other stakeholders. Coordinate with all parties involved to ensure smooth communication and scheduling.
Research and Analysis: Conduct research on mortgage products, interest rates, and lending policies. Assist the broker in analyzing market trends and competitor offerings to provide insights for client consultations.
Administrative Support: Provide general administrative assistance, including drafting correspondence, preparing reports, and organizing files. Handle routine tasks such as email management, expense tracking, and invoicing.
Client Onboarding: Assist in onboarding new clients by collecting necessary documentation, explaining the mortgage application process, and guiding them through initial procedures.
Compliance and Regulation: Ensure compliance with relevant regulations and industry standards, such as Know Your Customer (KYC) and Anti-Money Laundering (AML) requirements. Stay updated on changes in mortgage laws and regulations.
Qualifications:

Excellent Communication Skills: Strong verbal and written communication skills are essential for interacting with clients, lenders, and other stakeholders effectively.
Organizational Skills: Ability to prioritize tasks, manage time efficiently, and maintain attention to detail in a fast-paced environment.
Tech Savvy: Proficiency in using office software such as Microsoft Office suite, Google Workspace, and CRM systems. Familiarity with mortgage-specific software and tools is a plus.
Discretion and Confidentiality: Maintain confidentiality of sensitive client information and adhere to data protection regulations.
Customer Service Orientation: A customer-focused approach with a dedication to delivering exceptional service and support to clients throughout the mortgage process.
Team Player: Ability to collaborate effectively with the broker, other team members, and external partners to achieve common goals.
Adaptability: Willingness to learn and adapt to new tasks, procedures, and technologies as needed in a dynamic industry environment.
Understanding of Mortgage Industry: Basic knowledge of mortgage terminology, processes, and regulations is preferred, although training will be provided.
