Job Overview:
We are in search of a versatile and highly efficient Virtual Assistant to provide administrative and operational support across our diverse business portfolio, which includes Payment Studio (Payment Processing Company), and Buzz Digital (Marketing Agency). This multifaceted role requires an individual with the ability to juggle various tasks across different industries, ensuring smooth operations and effective management of the CEOs’ schedules and business activities.

Key Responsibilities:
-Cross-Company Calendar Management: Efficiently manage and synchronize multiple calendars pertaining to different companies, ensuring seamless scheduling and time optimization for each business unit’s CEO.
-Multi-Channel Communication Management: Oversee and coordinate incoming and outgoing communications (emails, phone calls, social media inquiries) across all companies.
-Document Preparation and Coordination: Prepare, review, and manage a variety of documents, including reports, presentations, and confidential correspondence, tailored to the needs of each company.
-Meeting and Event Coordination: Organize and facilitate meetings and events, including setting agendas, minute-taking, and coordinating follow-ups, across different business sectors.
-Customer Service: Taking calls from customers/merchants that need help/support.

Industry Adaptability:
-Stay informed and adapt to the diverse trends and updates relevant to construction, architectural design, and digital marketing industries.

Qualifications:
-Proven experience as an executive assistant or virtual assistant.
-High proficiency in Microsoft Office Suite, Google Workspace, and various virtual communication and project management tools.
-Exceptional organizational, time management, and multitasking skills.
-Superior communication abilities (both written and verbal).
-Strong initiative and problem-solving capabilities with a decision-making aptitude.
-A bachelor’s degree in Business Administration, Communication, or a relevant field is advantageous.
-Commitment to maintaining a high level of confidentiality and discretion.

Work Environment and Additional Details:
-Full-time, remote position with a need for flexibility to accommodate different time zones and schedules.
-A well-equipped home office with a reliable internet connection is essential.
