**Job Title: Virtual Assistant for Makeup Artist Manager**
**Overview:**
We are seeking a highly organized and proactive Virtual Assistant to support a talented Makeup Artist who oversees a team of staff. This role is crucial in maintaining efficient operations, managing schedules, and ensuring the smooth coordination of tasks within the makeup artist’s business. The ideal candidate will possess excellent communication skills, attention to detail, and the ability to multitask in a fast-paced environment.
**Responsibilities:**
1. **Calendar Management:**
– Schedule and coordinate appointments, meetings, and events for the makeup artist and the team.
– Ensure that schedules are optimized for productivity and accommodate staff availability.
2. **Communication and Correspondence:**
– Act as a liaison between the makeup artist and internal/external stakeholders.
– Respond to emails, inquiries, and requests on behalf of the makeup artist.
3. **Team Coordination:**
– Assist in managing the makeup artist’s team by coordinating their schedules, assignments, and tasks.
– Facilitate communication among team members and ensure everyone is informed about relevant updates.
4. **Client Relations:**
– Manage client inquiries and appointment bookings.
– Maintain a client database and ensure follow-up on inquiries and feedback.
5. **Administrative Support:**
– Handle administrative tasks such as file organization, document preparation, and data entry.
– Prepare and review reports, presentations, and other documents as needed.
6. **Travel Arrangements:**
– Coordinate travel arrangements for the makeup artist and staff, including booking flights, hotels, and transportation.
7. **Social Media Management:**
– Assist in managing social media accounts by scheduling posts, engaging with followers, and ensuring a consistent online presence.
8. **Project Coordination:**
– Support the makeup artist in the execution of various projects, including photo shoots, events, and collaborations.
9.**Social media creation**
– TBC – creating content to post and editing videos on capcut
**Requirements:**
– Proven experience as a virtual assistant or in a similar role.
– Strong organizational and time-management skills.
– Excellent written and verbal communication skills.
– Proficiency in using communication and scheduling tools.
– Ability to handle sensitive and confidential information with discretion.
– Familiarity with the beauty and makeup industry is a plus.
– Tech-savvy with proficiency in Microsoft Office Suite and Google Workspace.
