Role
As an Administrative Assistant, your role will be to support our CEO, various team members, and overall business operations to handle administrative tasks like data entry, billing, inventory, record-keeping, correspondence, metric tracking, and more. Your contribution allows our company to run more smoothly, fires are put out quickly (and there are less of them), holes are plugged, and things just work better.

You are amazingly organized, efficient, and love dealing with numbers, data, and spreadsheets. You are able to parse larger projects into smaller, achievable goals. You pick things up quickly and enjoy handling a variety of tasks. You perform well under pressure and time constraints. You get things done as quickly as possible while triple checking for accuracy and quality. You have an innate sense of which projects to prioritize and are likely a keen keeper of to-do lists. You are confident and at ease when sharing and exchanging information with team members of varying seniority levels.

Spreadsheet creation (Google sheets)
Email inbox management (Gmail/GSuite)
Calendar management (Google calendar)
Automation (Active Campaign)
File Management
Update weekly metrics in our company scorecard (pulling data from various platforms)
Setup payment links, team email accounts, etc…
Arrange travel for CEO
Make sure all processes and company “playbook” are organized and up to date
Take meeting minutes/notes and create tasks for appropriate team members inside Slack
Use Trello to update client progress
Confirm sales calls
Facebook Group Management
Proficient in Canva Design
Social media ad commenting
Social Media Creation and Scheduling
Video Editing

Bonus if proficient on tech platform ‘Get Healthie’

Results (Expected Outcomes)
Results are the expected accomplishments of performing the job well. These are the results that we expect this team member to deliver within their role.

Team members spend more of their time on their “genius” work and little to no admin.
CEO gets more time and attention back to focus on vision and strategy.

Requirements (Expected Proficiencies to Excel in This Role)

Excellent English
At least 2 years previous experience handling admin work and getting workflow organized (within an online business is a bonus)
Very strong communication and interpersonal skills are important in order to work well with team members and clients
Extremely detail oriented, a “hawk-like” ability to spot errors, typos, and other details
High Technical skills
