Job Description:
We are seeking a talented Virtual Assistant (VA) to join our team and support our executive staff in achieving their goals. As a Virtual Assistant (VA) at RRM, you will play a pivotal role in ensuring the smooth and efficient operation of our executive team. You will be responsible for a wide range of tasks, from administrative support to creating standard operating procedures (SOPs). The ideal candidate is highly organized, task-oriented, and proficient in both English and Spanish, with a strong ability to multitask and adapt to various responsibilities.
Key Responsibilities:
Administrative Support: Provide comprehensive personal assistant support to the executive team, including managing calendars, scheduling appointments, and handling travel arrangements.
Communication: Facilitate effective communication between team members, clients, and partners by drafting and responding to emails and other correspondence in English and Spanish.
Documentation: Create, maintain, and organize documents, spreadsheets, and files to ensure easy access and retrieval of information.
Standard Operating Procedures (SOPs): Develop and maintain clear and concise standard operating procedures to streamline workflows and enhance efficiency across the organization.
Task Management: Assist in task prioritization and time management for the executive team to ensure deadlines are met and objectives are achieved.
Research: Conduct research on various topics, compile reports, and summarize findings to support informed decision-making.
Meeting Coordination: Schedule, coordinate, and prepare materials for meetings, ensuring all participants are well-informed and prepared.
Data Entry: Accurately input and manage data in databases and spreadsheets.
Requirements:
Experience with Google applications
Experience with Office applications
Preferred CRM experience
Qualifications:
Proven experience as a virtual assistant or personal assistant to executives.
Exceptional organizational skills with the ability to prioritize tasks efficiently.
Proficiency in English (spoken and written) is required.
Proficiency in Spanish (spoken and written) is highly preferred.
Strong communication skills, both verbal and written.
Tech-savvy with proficiency in MS Office, Google Workspace, and virtual collaboration tools.
Ability to work independently, demonstrating initiative and a proactive approach.
Detail-oriented with a commitment to maintaining accuracy in all tasks.
Discretion and professionalism in handling sensitive information.

This position may require occasional weekends or extended hours to meet project deadlines.
