a Virtual Assistant at Just In Tyme you will play a crucial role in supporting our executive team and ensuring the smooth functioning of daily operations. You will provide comprehensive administrative support, manage schedules, coordinate meetings, and handle confidential information with discretion and professionalism.

Responsibilities:

Calendar Management: Effectively manage executive calendars, including scheduling meetings, appointments, and travel arrangements.
Communication: Serve as a primary point of contact for internal and external communications, including screening calls, managing emails, and responding to inquiries promptly.
Meeting Coordination: Organize and coordinate meetings, conferences, and events, including preparing agendas, and managing logistics.
Document Preparation: Prepare and edit correspondence, presentations, reports, and other documents as required by executives.
Travel Arrangements: Arrange travel itineraries, accommodations, and transportation for executives and ensure all arrangements align with company policies and preferences.
Record-Keeping: Maintain accurate records and documentation ensuring easy accessibility and confidentiality.
Administrative Support: Provide general administrative support, including processing expenses, and handling other ad-hoc tasks as needed.
Project Assistance: Assist with special projects and initiatives as assigned by executives, contributing to the successful execution of company objectives.

Requirements:

Proven Experience: Minimum of 1 year of experience as an executive assistant or in a similar administrative role, preferably in a fast-paced corporate environment.
Organizational Skills: Exceptional organizational and time-management skills, with the ability to prioritize tasks effectively and meet deadlines.
Communication Skills: Excellent written and verbal communication skills, with keen attention to detail and accuracy.
Discretion: Demonstrated ability to handle sensitive information with utmost confidentiality and professionalism.
Problem-Solving: Strong problem-solving skills and the ability to anticipate needs, proactively address issues, and find creative solutions.
Technology Proficiency: Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software applications.
Adaptability: Ability to adapt quickly to changing priorities and work effectively under pressure in a dynamic environment.
Team Player: Collaborative mindset with the ability to work well independently and as part of a team.
