We are a growing company with a dedicated team, and we are seeking a highly motivated and organized individual to join us as the Virtual Assistant to our CEO.
About the Role:
As the Virtual Assistant to the CEO, you will play a critical role in supporting the CEO and ensuring the company’s smooth operation. You will be a trusted point of contact, providing proactive and efficient administrative and operational support.
This is a remote position requiring a dedicated workspace and a reliable internet connection and phone line.
Responsibilities:
• Executive Support:
Manage the CEO’s calendar and schedule meetings and appointments.
o Prepare meeting agendas and materials, ensuring timely distribution.
o Respond to inquiries and requests directed to the CEO promptly and professionally.
o Maintain confidentiality and discretion regarding all matters related to the CEO and the company.
• Administrative Support:
o Draft and proofread correspondence, documents, and reports.
o Manage email and phone calls, filtering and prioritizing messages for the CEO.
o Coordinate with various departments within the company to ensure seamless communication and collaboration.

Customer Service:
o Provide exceptional customer service over the phone and email, addressing inquiries and resolving issues promptly and efficiently.
o Maintain accurate and up-to-date client information.
o Proactively follow up with clients to ensure their satisfaction with our services.
• Technology & Systems:
o Proficient in Limo Anywhere software for managing reservations, bookings, and dispatch operations.
o Proficient in MS Outlook for email management and scheduling.
o Proficient in AUTOsist for customer relationship management and task automation.
o Experience with Pipeline Pro or similar CRM systems is highly desirable.
o Comfortable learning and adapting to new technologies and software.
Qualifications:
• Minimum 3 years of experience as a Virtual Assistant or in a similar administrative role.
• Exceptional customer service skills, with a focus on building rapport and exceeding expectations.
• Strong written and verbal communication skills, with the ability to communicate clearly and concisely in a professional manner.
• Excellent organizational skills and the ability to manage multiple tasks efficiently and prioritize effectively.
• Proficient in MS Office Suite (Word, Excel, Outlook) and other relevant software.
• Ability to work independently with minimal supervision and take initiative.
• Highly motivated, self-directed, and results-oriented.
• Ability to maintain confidentiality and discretion.
• Reliable internet connection and dedicated workspace.
• Availability Monday-Friday 8am – 4pm AWST.
