Job Summary:
We are seeking a highly motivated and organized Virtual Assistant to support a Childcare Business Coach in managing various administrative tasks, research, client communication, lead generation, and maintaining an organized client portal. The ideal candidate should also be proficient in transcribing notes in an organized manner. Additionally, the candidate should possess exceptional organizational skills, attention to detail, and proficiency in various software tools, including ClickUp, Trello, Zoom, and Google Suite. A portfolio of past work will be a significant advantage in the selection process.
Key Responsibilities:
Research and Data Collection:
Conduct online research on childcare industry trends, market insights, and competitor analysis.
Gather information for blog posts, social media content, and business resources.
Compile research findings into clear and concise reports.
Spreadsheets and Checklists:
Create and maintain spreadsheets for tracking business metrics, financial data, and client information.
Develop checklists for organizing tasks, schedules, and project management.
Client Communication:
Interact with clients in a professional and friendly manner via email, Zoom, and other communication platforms.
Schedule appointments, meetings, and follow-ups as needed.
Ensure that clients’ inquiries and requests are handled promptly and efficiently.
Client Portal and Note Transcription:
Update and organize the client portal with relevant documents, resources, and client data.
Transcribe notes from meetings, calls, and discussions in a clear and organized manner for future reference.
Software Proficiency:
Utilize software tools, including ClickUp and Trello, to manage projects, tasks, and deadlines.
Schedule and coordinate meetings using Zoom.
Create, edit, and share documents and data using Google Suite.
Lead Generation:
Research potential leads in the childcare industry and develop strategies to acquire new clients.
Build and maintain a pipeline of prospective clients.
Assist in outreach and follow-up to convert leads into clients.
Qualifications:
Proven experience as a Virtual Assistant, preferably with a portfolio of work.
Excellent English communication skills, both written and verbal.
Proficiency in using ClickUp, Trello, Zoom, Google Suite, and other relevant software.
Strong research and data analysis skills.
Exceptional organizational and time management abilities.
Self-motivated, with the ability to work independently.
Prior experience in lead generation and client acquisition is a plus.
