Job Description

Integral Christian Network Virtual Assistant Position
Part Time to start (15-20 hrs/wk) – build up to more based on need/fit

Integral Christian Network is seeking an administrative coordinator who is organized, flexible, tech-savvy, and dedicated to our purpose of gathering a global community of dedicated mystical practitioners for the loving evolution of Christianity and the world. Reporting to Luke Healy, Executive Director, our ideal candidate will approach this position in a multi-faceted way, providing immediate administrative support while also working to develop the position over time.

Overall Duties
• New community member intake and WeSpace enrollment coordination
• Content management for website and social media assistance
• Community-wide communications
• Online platform administration (Squarespace & Circle)

Specific Tasks (organized by area of focus)
General
• Manage and direct ICN email communications for prompt response
• Manage members/donations database (in conjunction with ED)
• Member engagement, general needs and support, follow-up and feedback

Website & Campaign Emails
• Upload weekly writings & campaign email
• Send article to bell-ringer (Monday morning)
• Community event reminder emails (schedule once a month) – Sunday Gathering, Co-Exploration, Early Sabbath, etc.
• ICN Calendar & event management on website & Community Page
• Regular WeSpace Bulletin newsletter support

WeSpace
• WeSpace Registration intake and new group coordination 2x/year (in conjunction with Luke & WS Nurturing Circle/Starters), fostering a welcoming experience
• Semi-daily WeSpace emails to new groups
o Group meeting reminders/instructions, 1v1 pairings meeting, WeSpace Notes

Programs & Events
• Contribute to logistical coordination for programs & events:
o Including registration process and payment, tech support (such as Zoom set up and assistance), publicity coordination, customer service-related questions
o May include post-event follow-up, such as collecting feedback, sending materials
Outreach/Marketing
• Social Media – administrating content from social media team
o Sharing weekly articles & other content

Other Community Tasks
• Admin support for ICN Circles and other duties as assigned or as may emerge.

Areas of Further Development

• Organization development of mailing lists and community communication systems
• Creating content summaries and samples of writing series from articles
• Gathering testimonials and stories from community members
• Transcript creation for all existing guided meditations (some already completed)
• Assist with development and implementation of communication systems

Qualifications

Postsecondary education (degree or diploma) and minimum of two years administrative experience or equivalent combination of education and experience, preferably in a nonprofit.

• High organizational skills with attention to detail and follow through
• Effective responsiveness with clear communication skills, especially written
• Strong interpersonal skills with the ability to work collaboratively
• Ability to work independently, with little supervision, with competing priorities
• Excellent time management and multi-tasking capabilities with flexibility and adaptability
• Computer skills including experience in Word processing, Outlook, Excel spreadsheets
• Experience or willingness to be trained in Zoom, Squarespace, email marketing programs and other computer applications
• Administering online platforms (Squarespace & Circle)
• Experience in planning and coordinating basic events on zoom
• Following financial policies and procedures
• Drafting correspondence, responding to inquiries and requests as appropriate

• Preference will be given to candidates with a mystical practice and spiritual community experience
