Job Title: Virtual Assistant – Real Estate Business

We are seeking a motivated and detail-oriented Virtual Assistant to join our team and play a crucial role in managing various tasks to ensure the smooth operation of our real estate transactions.
Responsibilities:
1. Listing and Purchases Management:
• Process all listings and purchases from start to finish in all relevant systems.
• Execute Just Sold and other marketing initiatives based on property transactions.
2. Project Management:
• Monitor Project Management Software for open tasks related to closings and process them promptly.
3. CRM Maintenance:
• Keep the CRM updated with information on new clients, changes, etc.
4. Document Management:
• Upload contract documents for review in Total Brokerage.
• Save and organize files in Dropbox for efficient access and retrieval.
5. Calendar Management:
• Maintain and update the business calendar for key events and appointments.
6. Social Media Management:
• Schedule posts on various platforms such as Instagram, Facebook, Google, etc.
7. Reporting and Planning:
• Update Kefryn Production Report/Business Plan regularly.
8. Marketing Coordination:
• Coordinate marketing emails, postcards, and flyers.
• Set up follow-up email campaigns for effective communication.
9. Client Interaction:
• Process all projects as assigned, ensuring client satisfaction.
• Follow up on client reviews and feedback.
10. Asset Creation:
• Create assets for sold or new listings, including emails and social media posts using ReChat or Canva.
11. Financial Tasks:
• Prepare invoices and update expense spreadsheets.
12. Market Analysis:
• Prepare basic Comparative Market Analysis (CMA) for past clients.
13. Documentation Preparation:
• Prepare listing paperwork and maintain organized transaction files.
14. MLS Searches:
• Set up MLS searches for past clients.
15. Content Creation:
• Write blogs and run them through AI authenticity software for quality content.
16. Showings and Communication:
• Set up showings and prepare showing packets.
17. Bulk Texting:
• Implement bulk texting strategies for efficient communication.
18. Video Editing:
• Edit videos for social media platforms.
19. LinkedIn Outreach:
• Set up LinkedIn outreach campaigns for networking and business growth.
Requirements:
• Proven experience as a virtual assistant or in a similar role.
• Strong organizational and multitasking skills.
• Excellent communication skills, both written and verbal.
• Proficiency in relevant software and tools.
• Knowledge of the real estate industry is a plus.
