We’re on the lookout for a tech-savvy and self-driven administrative assistant to work with multiple teams in our company. You will be expected to coordinate between these teams and look after all administrative-related tasks of these various departments. Our ideal candidate would be a good team player, a great communicator, and a spontaneous, who is extremely reliable to get work done.
Roles and Responsibilities
• Coordinating between teams and prioritizing admin tasks to be done.
• To allot tasks on work management software like Asana.
• Research and book venues for Trade Shows, Guest Speaking, and other Sales/Marketing Events.
• Proofreading and editing and sending business material, reports, newsletters, etc.
• Data entry and database management of multiple software platforms.
• Schedule team meetings, send invites to all team members, and set up reminders.
• Assisting with travel planning and accommodations
• Manage emails and respond to inquiries
• QA Testing of Software Programs and submitting bug tickets to the Dev Team
• Learning Trucking Industry terminology in the US to communicate efficiently with clients
• Onboarding new clients
• Assisting Clients with Software Issues/Client Services
• Set Up & Configuration of new software
Skill requirements
• 4 years of experience as a Virtual Assistant at a trucking company (5 years and above experience is preferred but not required)
• Know how to use software
• Fluent in English, both written and spoken
• Good team player
• Strong multi-tasking abilities
• Proficient with Microsoft and G-Suite Products
• Asana, Slack, Zoom, Hubstaff.
• Proficient in Video Editing a plus
• Ability to learn new Software Programs easily
• Sense of Humor while maintaining focus on the work at hand
• Must be detail-oriented, and love color coding, organization and spreadsheets.
• Work hours are 8 AM – 4 PM Central Standard Time – US
