Company Description: Harbor Systems Group, a progressive electrician company based in Long Island, New York, is expanding its team. We are looking for a committed and efficient Remote Administrative Assistant from the Philippines to support our administrative and accounting operations.
Job Description: As a Remote Administrative Assistant, you will play a key role in maintaining our financial records and administrative tasks. This position offers the flexibility of working from home, with a requirement to align with New York business hours (8 AM to 4 PM or 9 AM to 5 PM EST, Monday to Friday). This is an excellent opportunity for a Filipino worker to join an American company in a low-stress, yet vital role.
Key Responsibilities:
• Manage QuickBooks for tasks such as entering invoices, emailing invoices, entering payments, and following up on past-due payments.
• Enter products and manage product listings in QuickBooks.
• Assist in basic tax preparation.
• Handle generator maintenance forms, including preparing and emailing standard quotations, and entering payments.
• Possibly answer phone calls (light volume expected), providing courteous and efficient customer service.
• Provide general administrative support and manage electronic filing systems.
Qualifications:
• Prior experience with QuickBooks and administrative roles.
• Strong proficiency in English, with excellent verbal and written communication skills.
• Detail-oriented with strong organizational and time-management abilities.
• Comfortable with basic tax preparation and financial record-keeping.
• Proficient in Microsoft Office Suite or similar software.
• High school diploma required; further education or relevant certification preferred.
• Ability to work independently and align with New York business hours.
