Job Title: Virtual Assistant – Administrative Officer

Employment Type: Part-Time role that has the potential to transition into full-time

Wage/Salary Per Month: USD5-8hr/Hr

Desired No. of Hours Per Week: 20 hours

An exciting opportunity exists for an experienced Administrative Officer to join a fast-paced, successful Australian marketing agency on a part-time basis to support business operations.

Main duties will include:
– Assist the senior management with the day-to-day running of the business.
– Reporting performs secretarial and administrative duties.
– Assist in PR brand strategy
– Initial outreach for PR opportunities on international podcasts and speaking engagements and;
– Maintenance of PR tracking spreadsheets and sharing with the OJC community.
– Assist in researching opportunities to podcast and speaking engagement
– Managing and maintaining the marketing calendar for the owners personal brand.
– Provide email support managing company emails and forward important emails to sr. management
– Assist in social media management services to the company scheduling content and posting content across social media channels.
– Assist with client experience including arranging client onboarding gifts and birthday gifts, ensuring a positive and personalised client journey.
– Provide any additional marketing or administration support as required to the Director.
– Cross check hours spreadsheet for errors and discrepancies
– Assist in keeping client list accurate and up-to-date
– Maintain organised and up-to -date records, files and documentation
– Ad Hoc data entry, accurately enter and manage data using database and software
– Assist on the creation and maintenance of various reports

THE ROLE:
As a Virtual Assistant – Administrative Officer, you will be a key member of our team, contributing to the success of our organization by providing whole business support to the CEO, Operations and Sr. Managers within the company management team to ensure smooth day-to-day business operations.

This role is critical to supporting the business’ continued success and you will be working alongside the Senior Management and CEO.

Key Responsibilities:
– Support Senior management in the day-to-day operations of the business
– Reporting performs secretarial and administrative duties.
– Contribute to the development and execution of PR Brand strategies
– Data population in our systems and ensuring accurate and up-to-date information.
– Provide email support, calendar management and client support.
– Assist in social media management, scheduling and posting content across various channels
– Maintain, organize and ensure data and documentation are updated
– Assist in creation and management of reports

REQUIREMENTS:
– You must be able to successfully understand and apply the agency’s branding and aesthetic.
– You must be available to work approximately 40 hours per week (flexible on work days and times) during Australian business hours.
– You must have a marketing business administration background and qualifications
– Proven experience as an administrative assistant or similar role with at least 1 years of experience
– Strong organizational and multitasking skills with great attention to detail
– Trustworthy and can handle confidential information
– Excellent communication and interpersonal skills
– Excellent command of English both written and verbal
– Knowledge of Notion integration and setups is a plus
