Role Overview: As a Virtual Assistant at How to Host, you will play a crucial role in ensuring top-notch customer service and operational excellence. Your primary focus will be on maintaining effective communication with guests, property owners, and our internal team. Your impeccable responsiveness and customer-oriented approach will drive our success.
Responsibilities:
• Communicate proactively with guests and assist them via emails and messaging platforms.
• Collaborate closely with Casey (Operations Manager) and support staff for quality checks, property cleanliness, and check-in information.
• Employ solution-based thinking to resolve guest inquiries and issues promptly.
• Create and optimize property listings on various platforms, aligning with current algorithm and SEO strategies.
• Master the Hostfully property management system and operate multiple platforms including Airbnb, VRBO, Marriott, , and Stay app.
• Manage owner reservations and scheduling, coordinating with check-ins, check-outs, and cleaning services.
• Provide concierge services and assist with our guidebook to enhance guest experiences.
• Verify VRBO payments and other transactions processed via Stripe, ensuring accurate payment collection.
• Oversee damage deposit confirmations and handle refund processes and damage claims.
• Contribute to the creation of a quarterly owner newsletter discussing market trends and insights.
• Assist with basic website updates, including adding and removing listings.
• Provide insights on digital marketing, SEO, and other related strategies.
Requirements:
• Outstanding customer service skills with a strong solution-oriented mindset.
• Ability to respond to messages within one minute.
• Proficiency in communication tools such as Slack, Monday, and email platforms.
• Familiarity with vacation rental management software like Hostfully, Hostaway, etc.
• Experience with Airbnb, VRBO, Marriott, , Stay app, and Stripe.
• Basic knowledge of website management tools such as Showit, Shopify, Canva, and WordPress.
• Proficient in Adobe, Microsoft Office, Google Drive, and Dropbox.
• Excellent organizational and time management skills.
Daily Tasks: In addition to larger projects, your daily tasks will include:
• Managing guest messages and addressing inquiries promptly.
• Coordinating property check-ins and check-outs.
• Communicating with past guests for feedback and assistance.
• Familiarizing yourself with local guidebooks and property-specific rules.
• Reviewing property information and creating a comprehensive question list.
• Ensuring proper fee collection, particularly for pet-friendly reservations.
• Handling tasks related to the How to Host Etsy shop.
• Responding to emails and inquiries.
• Utilizing training resources and videos to enhance your skills.
