ABOUT THE POSITION:

We are looking for an experienced and versatile assistant to help with bookkeeping, email management, marketing, contracts, and proposal tasks. This is ideally a full time position but we may be open to starting you part time with the opportunity to move into full time, if you have other responsibilities.

GENERAL VA ROLES AND RESPONSIBILITIES

– Keep your workflows super organized and up to date, while multi-tasking on a number of different projects.
– Bookkeeping and reconciliation in Quickbooks
– Generate weekly and monthly financial and sales reports
– Plus if you understand business taxes
– Stay on top of invoicing in Quickbooks, making sure that clients receive invoices in time and reminders for late payments
– Creating contracts & proposals based on a template, updated with the correct information
– Pay invoices and bi-monthly payroll
– Schedule and research travel and tickets
– Submit financial forms and data
– Handle Insurance COIs and communication with venues to meet necessary requirements
– Manage email inboxes and reminders for appointments and responses
– Document workflows and update SOPs
– Help with sales follow up and outreach reminders

When other tasks are complete, you may also assist with:

– content and competitor research, analytics reporting, marketing outreach, etc.
– Help with monthly scheduling and reporting on KPI’s
– Scheduling posts on social media
– Document company procedures for multiple businesses and workflows and update SOPs

TECHNICAL KNOW HOW

– experience with project management systems
– basic understanding of online marketing
– ability to navigate the computer quickly and with ease

ABOUT YOU & YOUR SKILLS

For this position, you must possess the following qualities to be successful:
– 3+ years bookkeeping, and 3+ years Virtual Assistant experience
– We will need you to be very detail-oriented and hyper-vigilant about deadlines
-You must be able to follow our workflows step by step and be organized with your tasks and reporting
– Good at creating and implementing project management systems for complex projects
– Managed multiple teams and projects at the same time, ensuring timelines are met
– Help keep projects in scope and budget
– Must be organized and resourceful, detail oriented
– You have worked in marketing or events or have an interest to learn more
– Proficiency in Google Apps (Docs, Sheets, Slides, Gmail, etc)
– Stupendous communication skills, both verbal and written
– Great English speaking and writing skills
– Good grammar is a must-have
– Ninja-like skills on the internet; ability to easily learn new software, understand their options and limitations
– Ability to run circles around the computer & troubleshoot issues!
– Your typing skills are at least 35 wpm
– Ability to analyze data and create reports
– Writing, editing and formatting skills are a plus
– A self-motivated, self-starter, self-assured, selfless attitude
– Drive and urgency to complete many tasks on multiple projects per day
– Be flexible and open to change
– And you know, it’s all in the details – so bring a keen eye to the game!
– Have your own computer, high speed internet and a distraction free workspace
