We’re looking for a team member who can fulfill the role of Client Services Administrator (CSA).
The mission of the Client Services Administrator is to provide essential administrative support for the financial planning and insurance aspects of Beacon’s business, reinforcing our efforts to deliver a “Five-Star Client Experience”.
The following are the role’s key areas of responsibility:
1. Schedule Management. You will play a vital role in seamlessly coordinating the financial planners’ schedules, adeptly managing their appointments, and meticulously maintaining their Google calendars. Furthermore, you will diligently monitor and update the Meeting Gap Report for our financial planning clients, ensuring no substantial gaps between client meetings.
2. Invoicing and Payment Collection. You will manage invoicing for our financial planning clients, ensuring prompt payments and accurate record-keeping to enable us to track progress toward our sales targets.
3. Client Communications. You will promptly respond to client inquiries, consistently escalating urgent messages to the financial planners to enhance their responsiveness.
4. Insurance New Business & After-Sales Support. You will prepare proposals for potential insurance clients, oversee the application process until policy issuance, handle Level 2 insurance after-sales inquiries, and update production metrics regularly. (Note that another team member handles all Level 1 concerns, which are typically more numerous than Level 2.)
5. Personal Admin Support. Your role will involve facilitating personal transactions for the financial planners in tasks such as travel requirements & bookings, setting medical appointments, etc.
The CSA position is full-time and primarily work-from-home. The CSA will need to be available on Mondays to Fridays, between 9:00 AM and 6:00 PM, to respond to Planner and client requests, but will have time flexibility for task completion as long as they deliver their duties faithfully and fulfill their responsibilities excellently.
The CSA will also need to attend our Quarterly Strategic Review meeting at our Ortigas office once a quarter, so it’s preferred that they be based in Metro Manila or nearby provinces.

General Duties:
1. Schedule appointments and manage Google calendars for both financial planners.
2. Monitor and update the Meeting Gap Report for our financial planning clients.
3. Prepare proposals for potential insurance clients.
4. Handle insurance application submissions and guide the process until issuance.
5. Address Level 2 insurance after-sales inquiries.
6. Update insurance production metrics regularly.
7. Respond to client inquiries, escalating urgent messages to the financial planners.
8. Invoice our financial planning clients for their retainer fees and ensure timely payments.
9. Obtain financial planning client signatures for Engagement and Retainer Agreements.
10. Issue Official Receipts to paying financial planning clients and record payment transactions in our database.
11. Prepare and send Engagement Agreements to prospective financial planning clients as requested.
12. Coordinate personal logistics for the financial planners (e.g., travel requirements & bookings, setting medical appointments, etc.).
