Job Description

We’re a small but growing, glass business in North Carolina, USA looking for a bright, diligent, and patient virtual assistant to handle day-to-day social media posting, create/edit Loom training videos based on user provided content, convert Loom videos into training documents/SOPs, update business KPIs, upload documents into our business management software.

This position has four primary responsibilities:

1. Day-to-day or weekly social media posting (taking a picture from Google Drive or other shared folder that we have taken and posting with appropriate descriptions and hashtags within the social media platform). Answering questions or comments as necessary (be the daily engagement to our social media pages).
2. Interface within our business management software to provide company managers with key performance indicators (KPIs) on a daily/weekly/monthly basis. This also includes taking scanned materials from a shared folder and uploading them to the appropriate location within our business management software (Smart Builder).
3. Take a recorded video and edit the video within LOOM in a way where the video can be used for training purposes. Then, take the Loom video and use the information to created printed SOPs and printed training documents that can be referenced by employees.
4. Other simple Virtual Assistant requests as they may arise.

Our business and our industry are quickly evolving, and we need someone who is willing to be flexible, learn new processes and software when needed, and, from time to time, have minor changes in job responsibilities as the business requires.

After an extended period of growth over the last couple years, we’re now focusing on systematizing and adding efficiency to our current operation. This is where a VA comes in. We’ve identified several extremely important yet time-consuming activities that we’ve decided to systematize and delegate to a Virtual Assistant. We want this individual to be just as much a part of the team as the rest of us in the office. We’ll have regular communication with you as the data and updates you provide will be critical to keep our operation running smoothly.

We believe in providing clear, documented instructions for our employees but also admit this is an area where we have been lacking. As such, we are in the process of documenting what we would like our new Virtual Assistant to do, while recording on a Loom video, how we recommend completing the tasks, and the specific outcomes and reports that we would like to see on a regular basis. We communicate with email, phone and Zoom when needed.

We will teach you the appropriate timeline, follow up process, and reporting procedure for helping us ensure that these important documents get where they need to go without any bottlenecks.
