Virtual Assistant Job Specification

Job Role –

To provide various tasks to assist in the smooth running of a short-term rental property management company in the USA. This is initially a part-time role of 20 hours a week but could lead to a full-time role.

Responsibilities– please note this may change weekly and priorities will change.

– Identification of target co-hosting clients and to be able to gain relevant contact information. – target will be given on this per week.
– Data input into CRM of target co-hosting clients. – quality of data is essential.
– Monitor and ensure CRM sales marketing automation is working effectively and highlight leads.
– Onboarding of new co-hosting clients. – Full inventory list require
– On-boarding new clients tech set up on relevant Property management system.
– Bookkeeping duties are to be performed weekly. – QuickBooks online.
– Social Media – to increase the followers for Instagram & Facebook accounts.
– Create and share content on Instagram & Facebook.
– Create a landing sales page for individual listings and post on Facebook buy/sell groups to encourage direct bookings.
– Create a website for each new client we gain – website-building skills are not needed. Canva would be advantageous. We use AI technology to create the website you would be making alterations.
– Facebook adverts and monitoring success.
– E-mail marketing to previous guests offers special promotions to gain direct bookings.
– Direct advertising of listing to various channels e.g. – Click to view
– Guest communication to verify ID and check rental agreements have been signed.
– register guest with HOA.
– Check property cameras – check pool/lawn maintained.
– Create house guides and manuals using Canva.

Full Training will be given on each of the above tasks via Zoom, loom videos and written processes to follow.

Successful candidates must have the following skills:
skills required – Good analytical skills, attention to detail, proficiency in MS Excel, excellent data input skills. e-mail management and organisational skills can be prioritised.
Marketing skills – social media -Facebook and Instagram metadata business suite, Canva or similar tool. QuickBooks
Bonus skill – is to have worked within the short-term rental market.

Competencies – honesty, inquisitiveness, willingness to learn, analytical, common sense. Excellent English communication both written and verbal. Attention to detail.
