Job Description

Virtual Assistant / Document Management / Bookkeeper – part time and long term

Pay – Hourly pay $150PH per hour, 8-12 hours per week
Basic Bookkeeping (50% of a week):
1. Enter all income & expense transactions twice a month
2. Balance each account each month between account statement and our records
3. Prepare monthly vendor reports
4. Work through the backlog of tasks

Process Documents (25% of a week):
1. Name and file PDF documents such as letters, bills, invoices, statements and organize them into the proper folders
2. Data entry
3. Update summary reports
Various Virtual Assistant Tasks (25% of a week) – tasks will vary
1. Data Entry
2. Contact info organization an updating
3. Sent out batch emails

Various Reports …
• Credit Report Invoices
• Vendor invoices
• NMLS quarterly reports
• Monthly P&L report
• Accounts reconcile – our new system is gnucash our old one was quickbooks
Work Hours – You can choose your work hours. About 10 hours a week, you can break it up into 2 hours for 5 days or 5 hours for about 2 hours.
Job learning will be mostly from how to videos and document instruction.
There will be initial instruction over skype.
We will need to coordinate every few days to workout any confusion or problems.
Language
Your written and spoken English needs to be excellent, but your attitude and heart needs to be even better.

Initially there will be lots of new things to learn, so we start small with basics of document types and the various accounts and reports needed. This is mostly a data organization job and getting everything ready so payments and auditing goes smoothly and quickly. Lots of checking, data entry, and basic logic.

So the key ingredients you will need to have for this job are:

4. Be honest and transparent to the company and other workers
– I would rather know bad news than assume that nothing is wrong.
– If i am not aware of a problem it usually gets bigger instead of smaller on it’s own.
– Be willing to tell me what you don’t really want me to know (even if it is bad about me)
– Let me know the tasks that you love to do (you can do them several hours straight, and really enjoy it)
– Understand and let me know the tasks that after 1 hour you are stressed or bored or distracted

5. Work hard …
– For the company (it needs to grow and be strong to provide for those who work here).
– For the clients because they need our help.
– For yourself, when you work hard for the company, then it develops and grows you and makes you a better person.

7. Be devoted to the company during your work time
… I realize you will have challenges (power outages, internet speeds/outage, nights/days, family needs, etc)
… but that even through all those challenges you work hard (but not 24/7 only during your work time)
… there are always distractions, stresses that tend to pull us away from our tasks,
… we have to recognize those and work through them
… when you are not working then …. enjoy your spouse, family, have fun,
– take good care of yourself
– live a balance “oola life” – faith, fun, family, friends, finance, fitness, field
– follow the 8 laws of health – fresh air, sunshine, rest, exercise, tolerance, nutrition, fellowship with God

8. Never disappear … all of us make errors, mistakes, get confused, get frustrated, get mad, get afraid because we are human
… but we are also great with fixing these errors, mistakes, confusion, frustration, anger, fear
… I have made so many mistakes in life it is frustrating, but I keep on trying again and again

9. English – your written English needs to be excellent, both written and verbal. I am probably better with my verbal English than my written grammar, as you can probably tell, but I am not strong in public speaking.

10. Good tools. Your computer, internet, power, work environment need to keep you productive.

We will start out with a test to see …
– what documents you are able to identify – it is okay if you don’t recognize much I just want to understand how you figure things out and what you already know about business documents
– how much you comprehend bookkeeping data entry and reports
– how you are as a person to work with
