Job Description

We are seeking a skilled and reliable Virtual Assistant to provide administrative/email support for our e-commerce business, with a focus on handling in customer concerns and queries. As a Virtual Assistant, you will play a critical role in ensuring the smooth operation of our online store by managing administrative tasks efficiently and effectively resolving issues and providing assistance to customer via email communication channels.
E-commerce Administrative Support:
– Manage and organize email correspondence with customers, suppliers, and partners.
– Process orders, returns, and exchanges promptly and accurately.
– Monitor customer reviews and feedback, addressing inquiries and concerns promptly via email.
– Assist the marketing team in updating website content, including product descriptions, images, and promotions.
– Coordinate with the fulfillment team to ensure timely delivery of orders and resolve shipping-related issues.

Email Support:
– Respond promptly and professionally to customer inquiries, concerns, and requests via email. Provide accurate information, troubleshoot problems, and resolve issues to ensure customer satisfaction.
– Identify and address customer issues effectively and efficiently. Escalate complex or unresolved issues to the appropriate departments or supervisors for further assistance.
– Develop a thorough understanding of the products or services offered by the company to provide informed responses to customer inquiries and support requests
– Update customer profiles and databases with relevant information as needed.
– Ensure that all outgoing emails adhere to company standards for professionalism, accuracy, and tone. Review and proofread responses before sending to maintain high-quality communication.
– Collaborate with other team members to share knowledge, best practices, and insights for continuous improvement.
Requirements:
– Willing to work full time. Work schedule is 1PM-10PM EST.
– Proven experience in administrative support roles, preferably in the e-commerce industry.
– Familiarity with popular e-commerce platforms (e.g., Shopify).
– Strong communication skills, both written and verbal, with a customer-centric approach.
– Ability to multitask and prioritize tasks effectively in a fast-paced environment.
– Detail-oriented mindset with a focus on accuracy and efficiency in handling administrative tasks and documentation.
– Proficiency in using productivity tools such as Microsoft Office Suite, Google Workspace, and CRM software.
– Bachelor’s degree or equivalent qualification in business, marketing, or a related field is preferred.
