Job Description:

We are seeking a proactive and detail-oriented Virtual Assistant to provide administrative, marketing, and client support. The ideal candidate will be highly organized, have excellent communication skills, and be able to multitask efficiently. As a Virtual Assistant at DOMO DOJO, you will play a crucial role in ensuring smooth operations and helping our team stay focused on delivering exceptional architectural services.

Key Responsibilities:

Administrative Tasks:

Manage email correspondence, sort and respond to emails.
Schedule and coordinate appointments and meetings.
Prepare and send invoices, track payments, and manage financial records using Harvest.
Organize and maintain digital files and documents.

Client Relations:

Handle client inquiries and provide customer support.
Assist with client onboarding and follow-up communications.
Update clients on project progress and send regular status reports.

Marketing and Social Media:

Create and schedule social media posts and content, primarily on Instagram and YouTube.
Write and send email newsletters and manage subscriber lists.
Conduct keyword research and update website content for SEO.
Monitor and report on social media performance.
Project Management:

Use project management tools to assign tasks and monitor progress.
Prepare agendas and materials for meetings.
Take and distribute meeting minutes.
Research and Analysis:

Conduct market research and gather information on industry trends.
Research new tools and software for business improvement.
Personal Assistance:

Make travel arrangements and manage itineraries.
Handle personal scheduling and errands.

Qualifications:

Proven experience as a Virtual Assistant or in a similar role.
Excellent written and verbal communication skills in English.
Strong organizational and time-management skills.
Proficient in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace.
Familiarity with project management tools (Trello, Asana, ) is a plus.
Basic knowledge of accounting and bookkeeping, preferably with experience using Harvest.
Experience with social media platforms, particularly Instagram and YouTube.
Experience in the Adobe Suite (Photoshop, Illustrator, etc.) is a plus.
Ability to work independently and manage multiple tasks simultaneously.
Reliable internet connection and a quiet workspace.
