We are currently seeking a highly organized and dynamic Virtual Assistant to join our team and assist in various administrative and customer service tasks.

Location: Remote
Type: Part-time/Full-Time (25-30 hours per week)

Responsibilities:
As a Virtual Assistant for our short-term rental real estate company, you will play a pivotal role in ensuring smooth operations and superior customer experiences. Your responsibilities will include:

1. Answering Calls and Texts: Respond promptly and professionally to incoming calls and texts from potential guests, addressing their inquiries, providing information about our properties, and assisting with booking reservations.

2. Email Correspondence: Manage email correspondence, responding to guest inquiries, confirming reservations, sending check-in instructions, and addressing any concerns or special requests in a timely and friendly manner.

3. Reservation Management: Efficiently handle reservation bookings, coordinating availability, and ensuring accurate guest details are recorded. Collaborate with property managers to ensure a seamless check-in/check-out process.

4. Social Media Engagement: Create and post engaging content on social media platforms, showcasing our properties and promoting special offers. Monitor comments and engage with followers to enhance our online presence.

5. Advertising and Marketing: Collaborate with the marketing team to draft and post ads for our properties on various online platforms, optimizing descriptions and images to attract potential guests.

6. Bookkeeping Assistance:Assist in maintaining accurate financial records by tracking expenses, income, and generating basic financial reports. Coordinate with the finance team to ensure timely and accurate bookkeeping.

7. Guest Support: Provide exceptional customer support to guests during their stay, addressing any issues or concerns they may have and coordinating with property managers or maintenance teams as necessary.

8. Data Entry: Accurately input data related to reservations, guest information, and property details into the company’s management system.

9. Administrative Tasks: Assist with various administrative tasks such as scheduling property cleanings, coordinating maintenance requests, and maintaining an organized filing system.

Qualifications:
– Proven experience as a virtual assistant or in a similar customer-facing role.
– Excellent communication skills, both written and verbal.
– Proficiency in using communication tools, email platforms, and property management software.
– Strong organizational skills and the ability to manage multiple tasks simultaneously.
– Familiarity with social media platforms and basic graphic design skills are a plus.
– Attention to detail and a proactive problem-solving attitude.
– Basic knowledge of bookkeeping principles and data entry.
