Job Description:
We are seeking a reliable and organized Virtual Assistant to play a pivotal role in our Airbnb property management team. As a Virtual Assistant, you will be responsible for guest communication, cleaner coordination, claim processing, and supply restocking to ensure a seamless and welcoming experience for our guests.
Responsibilities:
1. **Guest Communication:**
– Respond promptly to guest inquiries, bookings, and concerns via the Airbnb messaging platform.
– Provide detailed information about the property, amenities, and local attractions to enhance guest experience.
– Coordinate check-in/check-out procedures and address any issues or special requests.
2. **Cleaner Management:**
– Schedule and manage cleaning services for each turnover, ensuring timely and thorough cleaning of the property.
– Communicate cleaning instructions and guidelines to the cleaning staff.
– Monitor cleaning performance and address any issues or quality concerns.
3. **Air Cover Claim Submission:**
– Initiate and facilitate the process of submitting Airbnb host guarantee claims, ensuring accurate documentation and timely submissions in case of property damage.
– Collaborate with necessary parties to gather required evidence and information for successful claim processing.
4. **Supply Management:**
– Monitor inventory levels of essential supplies (e.g., toiletries, cleaning supplies) and ensure timely restocking of items.
– Place online orders for necessary supplies, considering budget constraints and maintaining sufficient stock to meet guest needs.
5. **Calendar Management:**
– Maintain an accurate and up-to-date calendar for bookings, cleaning schedules, and property availability.
– Ensure synchronization of calendars across various platforms to avoid double bookings.
6. **Problem Resolution:**
– Handle guest complaints or issues professionally and promptly to maintain positive reviews and guest satisfaction.
– Collaborate with cleaners to address any cleaning-related concerns raised by guests.
7. **Documentation:**
– Keep detailed records of guest interactions, bookings, cleaning schedules, and claim submissions.
– Assist in preparing reports on property performance and guest feedback.
Requirements:
– Proven experience as a virtual assistant, preferably in Airbnb property management.
– Strong communication skills and customer service orientation.
– Excellent organizational and time-management abilities.
– Familiarity with Airbnb platform and reservation management tools.
– Ability to handle multiple tasks simultaneously and adapt to a fast-paced environment.
