Job Description

Social Innovation Park (SIP) is looking for a highly motivated and energetic Virtual Assistant who is excited at the prospect of working tightly with the Executive Director to grow a start-up and developing ideas from 0 to 1, with a focus on generating high returns to people, planet and profits. This role will assist the Executive Director with Business Development and basic Marketing tasks, among others.

The Virtual Assistant will play a critical role in supporting the Executive Director in business development activities, focusing on proposal follow-ups, administrative tasks, and client interaction. This position is essential for nurturing client relationships and contributing to the successful closure of deals. The ideal candidate is proactive, detail-oriented, possesses exceptional written and verbal communication skills, and has the ability to assist with marketing tasks. Experience in marketing and familiarity with social media is a significant advantage.

Key Responsibilities

• Proposal Follow-Up: Collaborate with the Executive Director to ensure timely and effective follow-up on proposals submitted to clients. This includes maintaining a database of proposals and tracking their progress.
• Administrative Support: Provide administrative support to the Executive Director, including scheduling meetings, managing emails, and organizing documents related to business development activities.
• Client Interaction: Assist in building and maintaining strong client relationships. Communicate with clients to understand their needs and concerns and provide them with timely responses and updates.
• Deal Closure Assistance: Support the Executive Director in the final stages of closing deals, including preparing necessary documentation, arranging follow-up meetings, and ensuring all client requirements are met.
• Marketing Assistance: Assist with marketing tasks, including creating content for social media platforms, monitoring online presence, and conducting research to identify potential marketing opportunities.
• Database Management: Maintain and update client databases, keeping records accurate and up-to-date.
• Reporting: Prepare regular reports on the status of business development activities, including progress on proposals and client interactions.

Preferred Requirements & Experience

The successful candidate will have
• Strong written and verbal communication skills, with exceptional attention to detail.
• Proactive, self-motivated, and able to take initiative in a fast-paced environment.
• Professional and ethical conduct.
• Strong interpersonal and relationship-building skills.
• Prior experience in Business Development or Marketing is a plus.
• Familiarity with Social Media platforms and online marketing strategies is an advantage.
• Ability to perform in a fast-paced setting and oversee multiple projects concurrently.
• Minimum Bachelor’s degree from an accredited university in Business Administration, Marketing, or a related field (or equivalent experience).
• A positive attitude and willingness to learn and adapt.
• Ability to handle confidential information with discretion.

• Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint).
• Strong organizational and time management skills.
• Ability to work collaboratively and independently.
• Attention to detail and a commitment to accuracy.
• Familiarity with Social Media platforms and website maintenance a bonus (Facebook, Instagram, LinkedIn, TikTok, Wix)
