Job Description

Altos is a creative and innovative firm specializing in web and digital marketing solutions. As a market leader, we are seeking a proactive and detail-oriented Part-Time Virtual Assistant to support our CEO in managing administrative tasks, streamlining communication, and ensuring the efficient operation of the executive office.

Responsibilities:

Calendar Management: Schedule appointments, meetings, and events efficiently, ensuring optimal use of the CEO’s time.
Coordinate travel arrangements, accommodations, and itineraries.

Communication Management: Monitor and manage emails, responding to routine inquiries and organizing correspondence.
Draft, proofread, and edit documents, presentations, and reports as needed.

Task Prioritization: Assist in organizing and prioritizing tasks, deadlines, and deliverables to optimize productivity. Conduct research and compile information for various projects.

Meeting Support: Prepare meeting agendas, attend virtual meetings, and document key discussions and action items. Collaborate with team members to gather necessary materials for meetings.

File and Data Management: Organize and maintain digital files, ensuring a systematic and accessible filing system. Assist in data entry and management as required.

Personal Assistance: Manage personal travel arrangements, reservations, and other tasks as directed by the CEO. Provide discrete support on personal matters as needed.

Qualifications:

Experience: Proven experience as a Virtual Assistant or similar role, preferably supporting executives. Familiarity with digital marketing concepts is a must.

Tech-Savvy: Proficient in virtual communication tools, project management platforms (i.e. Teamwork), and Microsoft Office Suite. Comfortable navigating various online platforms and systems.

Communication Skills: Excellent written and verbal communication skills.

Organizational Skills: Exceptional organizational skills with a keen eye for detail. Ability to multitask and prioritize tasks effectively.

Initiative: Proactive mindset with the ability to anticipate needs and address issues before they arise. Ability to work independently and efficiently in a remote work environment.

Working Hours: Approximately 15-20 hours per week, with flexibility based on the CEO’s schedule and occasional urgent tasks.
