Job Description:
As a virtual assistant, you will provide essential research, marketing, and administrative support to one of our commercial real estate brokers based in our Downtown Milwaukee office. Your role encompasses a variety of tasks to ensure smooth operations and outstanding client service.

Typical Tasks:

Administrative (50% of your workload)
Data Management: Ensure all client and transaction data is accurately recorded in Compass Business Tracker and CRM.
Transaction Management: Review and process forms from lenders, prepare agency and listing agreements, and provide clients with regular updates on their transactions.
Sales Management: Support the broker’s sales efforts, such as loading phone numbers into a dialer for cold calling (you will not be required to cold call). Assist in preparing for networking events for the broker.
Calendar & Email Management: Schedule meetings, respond to basic client emails, provide information such as listing brochures, and manage the broker’s calendar.
Meeting Follow-Ups: Review meeting notes (typically generated by AI) and make relevant follow-ups, such as contacting others or scheduling appointments.
Meeting Preparation: Review the broker’s upcoming appointments and help prepare for the meeting as necessary.

Research (30% of your workload)
Property Research: Gather and analyze property information, calculate metrics such as vacancy rates, and follow up with property owners for additional details.
Market Research: Compare properties to market standards on factors such as rental rates and amenities using broker-supplied information databases. Document and verify sources.
Data Entry: Enter research data into internal calculators to analyze metrics like cap rate and GRM.
Presentation Management: Prepare marketing materials using standardized templates.

Social Media Management (20% of your workload)
Market News Updates: Stay informed on relevant market trends and competitor activities.
Weekly Social Media Planning: Develop text and basic image content for LinkedIn, Instagram, and TikTok, and confirm social media posting plans with the broker.
Video Scripting: Write scripts for short (under 60 seconds) social media videos.

Experience: Previous customer service and data entry experience required. Real estate and analytical backgrounds are preferred but can be taught.

Skills:
Exceptional attention to detail for handling multi-million dollar transactions.
Strong written English for professional communication with clients and partners.
Independent decision-making ability when broker feedback is unavailable.
Tools Used:
Crexi, Catylist, LoopNet, Realtors Property Resource® (RPR)
Compass CRM and financial modeling tools
Google Docs and Google Sheets (training provided for all tools)
