Job Description

We are seeking a highly organized and efficient Virtual Assistant to support our growing construction business. The ideal candidate will be responsible for a broad range of administrative tasks to ensure the smooth operation of our office and project management. Duties and Responsibilities:
Document Preparation: Create proposals, invoices, receipts, and other necessary documents with attention to detail and accuracy.
Expense Reporting: Distribute weekly expense reports to firm credit card holders, ensuring that all charges have corresponding allocations and receipts.
Customer and Vendor Communication: Proactively follow up with customers and vendors to ensure seamless operations and customer satisfaction.
Filing and Organization: Maintain an organized office filing system and an accurate electronic index of all case files to ensure easy access and efficiency.
Administrative Support: Assist with various administrative projects as needed. This includes preparing templates, drafting correspondence, organizing and updating Outlook contacts, handling mail and faxes, managing supplies, kitchen maintenance, and providing reception coverage.

Qualifications:
Organizational Skills: Exceptional organizational and problem-solving skills, with the ability to prioritize tasks and manage time efficiently.
Microsoft Office Proficiency: Proficient in Microsoft Office Suite – Outlook, Word, Excel, and PowerPoint.
Communication: Clear verbal and written communication skills.
Initiative: Must be self-motivated, able to take initiative, and work independently to meet deadlines and project goals.
Professionalism: Professional demeanor and positive attitude, with excellent follow-up skills.
Multitasking: Ability to multitask and adapt to changing priorities in a dynamic business environment.
