Novu Creative, a thriving and innovative creative agency, is seeking a detail-oriented and proactive Virtual Assistant to support our team in various administrative and creative tasks (with Adobe creative suite skills). As the Virtual Assistant, you will play a crucial role in ensuring smooth operations and efficient communication within the agency, while also assisting with creative content management. If you are organized, have excellent communication skills, and possess a keen eye for detail, we invite you to join our dynamic team.

///// Responsibilities /////

Email Management:
Monitor and manage the agency’s email accounts, responding to inquiries promptly and professionally.
Summarize and prioritize emails from clients, highlighting important details, and assigning tasks to relevant team members.

Task and Deadline Management:
Set and maintain project deadlines using project management tools such as Asana and ClickUp.
Ensure tasks are assigned to the appropriate team members and track their progress.
Quality Assurance:

Review completed work to ensure it meets the agency’s standards and client requirements.
Provide constructive feedback to team members to enhance the quality of deliverables.

Staff Hours and Time Tracking:
Keep track of staff working hours and update the timesheet accordingly.
Follow up with team members to ensure accurate time reporting.

Social Media and Content Management:
Assist in managing the agency’s social media accounts by creating engaging social media texts and scheduling posts.
Edit and optimize website copy to maintain consistency and accuracy.
Manage Mailchimp lists and assist with email marketing campaigns for clients.

Client Files Management:
Organize and maintain client files, ensuring all documents are up-to-date and easily accessible to the team.
Blog and Content Creation:

Assist in creating and editing blog content for the agency’s website and clients’ platforms.
Help with brainstorming ideas for engaging and relevant content.

– Previous experience as a Virtual Assistant or in a similar administrative role is preferred.
– Excellent written and verbal communication skills.
– Strong organisational and time management abilities.
– Proficiency in project management tools like Asana and ClickUp.
– Familiarity with social media platforms and content management systems.
– Basic understanding of email marketing tools, such as Mailchimp.
– Attention to detail and the ability to spot errors or inconsistencies.
– A proactive attitude and the ability to work independently while being a supportive team player.
