Company Overview: We work with a creative consulting firm dedicated to assisting creative agencies in building and expanding their businesses. Their primary focus is fostering a sense of community within the agencies they work with. The founder, based in NYC but a frequent traveler, is an extroverted and gregarious individual with a passion for helping others succeed. We are seeking a dynamic and proactive Virtual Assistant to support us with various administrative tasks, customer service, and event coordination.
Job Summary: As a Virtual Assistant for our creative consultant, you will play a pivotal role in ensuring the smooth operation of his day-to-day activities. Your primary responsibilities will include managing the client’s email inbox, and calendar, and assisting with virtual event preparations. As you become more familiar with the role, you will take on additional tasks such as podcast administration, travel planning, dinner coordination, light customer service, and social media management. ?Please note you will not have direct contact with the client, you are supporting us in supporting him. All work must be cleared by the owner of Brit MVP prior to submitting to the client.
Responsibilities:
Manage and organize the client’s email inbox, handling approximately 50 emails per day
Maintain and coordinate the client’s calendar, scheduling meetings primarily on Tuesdays, Wednesdays, and Thursdays, with around 5 meetings per day
Assist in preparing and coordinating virtual events hosted by the client twice a week
Plan and arrange domestic and international travel, averaging 2 trips per month
Provide support for the production of the client’s podcast, including guest scheduling and front-end assistance
Coordinate and plan dinners hosted by the client in various locations around the world, approximately 1 per quarter
Monitor customer service inquiries and registrations for virtual quarterly events
Respond to direct messages and inquiries on the client’s social media platforms
Qualifications:
Proven experience as a Virtual Assistant or in a similar administrative role
Excellent organizational and time-management skills
Strong written and verbal communication skills
Proficiency in email and calendar management
Ability to multitask and prioritize tasks effectively
Tech-savvy with familiarity in virtual event platforms and podcasting tools
Strong attention to detail and problem-solving abilities
Preferred Qualifications:
Previous experience supporting creative professionals or individuals in the consulting industry
Familiarity with customer service best practices
Experience in managing social media accounts
30-Day Win: Within the first 30 days of employment, the successful candidate will have demonstrated a solid understanding of the client’s email organization method, efficiently managed his calendar, and successfully assisted in setting up a virtual event.
