**JOB DESCRIPTION**
As a Virtual Assistant, you will provide remote administrative support to my business. Your role involves handling a variety of tasks to help me streamline my operations, enhance productivity, and manage my time more efficiently.
Looking for an individual who is a problem solver, NOT follow lists only.
1. Calendar Management:
– Learn about Notion
– Find the most effective way to manage projects and yearly planner (right now, I set up the planner on Notion but looking for a better solution)
– Send reminders and make sure I’m on top of the deadlines.
2. Time Management:
– Help me prioritize tasks and manage my time effectively.
– Implement strategies to increase productivity and efficiency.
3. Administrative Support:
– Manage email correspondence, calendar scheduling, and appointment setting.
– Organize and maintain digital files, documents, and databases.
– Research to see how to organize email in the most efficient way on Google
– Unsubscribe emails
4. Social Media
– Schedule posts on the social media: IG
– Repost on Tiktok, Pinterest , YT short
– Research hashtags and keywords for each channel
5. Newsletter – Convertkit
– Learn how to use Convertkit
– Manage email schedule
– Reformat email based on the Doc
– Set up automated emails
6. Shopify
– Add, remove, and update product listings
– Search and replace broken links
– Add the latest news, deals, and discounts on the website
– Research keywords for best visibility on Google, Amazon, and other search engines.
– Customer Service: Monitors customer messages through email and DMs. Handles returns, exchanges, refunds, and cancellations.
8. Research and Data Entry:
– Competitor research
– Latest Trends in the Market: design, products, video content
– Keyword research
– Target customer research
– Perform data entry tasks to keep information up-to-date.
9. Product Sourcing
– Product Research
– Locate and inquire with potential suppliers for the products on Alibaba.
– Compare quotes and handle samples among different suppliers within the US and China
– Research packaging quotes to find out the most cost-effective one
10. Inventory and Order Management
– Find a way to organize all the inventory on Sheets: assign style products, etc.
– Maintains communication with suppliers and manages purchase orders to ensure inventory levels don’t run out.
Add new inventory if required.
11. Travel Planning:
– Make travel arrangements, including booking flights, accommodations, and transportation.
– Create detailed travel itineraries and provide necessary information.
12. Wholesale – Faire:
– Learn about how Faire works
– Make a sheet to see which products are on Faire
– Upload products on Faire
13. Etsy
– Learn about Etsy
– List products on Etsy
**MUST- HAVE & HOW TO APPLY**
– Proven experience as a virtual assistant or in a similar administrative role.
– Strong organizational and multitasking skills.
– Excellent written and verbal communication skills in English. Humor is the plus.
– Understand Gen Z and young millennial mindset
– Attention to detail
– Experience with Google Sheet, Shopify, Etsy, Social Media, ConverKit
– Interest in art and cutesy things

– Proficiency in using virtual collaboration tools, project management software, and office productivity software.
