Job Title: Virtual Assistant to CEO of Aspen Luxury Concierge

About the Role:
Aspen Luxury Concierge is seeking a versatile and dedicated Virtual Assistant to provide comprehensive support to the CEO and her partner the Director of Business Development. This role demands a high level of organizational skill, a knack for managing administrative tasks, and the ability to adapt quickly to the evolving needs of concierge services, hospitality and real estate domains.

Main Responsibilities:
– Manage calendars and appointments for both the CEO and the Director of Business Development, coordinating seamlessly across business and personal schedules.
– Regularly update training manuals and organizational documents for ALC staff.
– Oversee contract management and organization for both ALC and real estate transactions.
– Develop and maintain SOPs using dedicated software.
– Effectively manage Google Drive systems for both ALC and real estate operations.
– Integrate and streamline operations across tech platforms, including Zapier.
– Analyze and organize spreadsheet data for targeted marketing in both the luxury concierge and real estate sectors.
– Manage CRM data within ActiveCampaign and Lofty, ensuring effective client communication and follow-up.
– Coordinate online lead generation and response for both ALC and real estate services.
– Assist in creating and maintaining property listings and rental agreements.
– Consolidate time reports and manage scheduling for both ALC staff and real estate-related appointments.

Qualifications:
– Minimum of 3 years in administrative roles, with experience in real estate administration or hospitality preferred.
– At least 2 years of customer service experience.
– Proficiency in Word, Excel, PDF, Google Drive, Gmail, and Calendar management.
– Excellent written and verbal communication skills.
– Bachelor’s degree in Business Administration, Management, or a related field is preferred.
