Job Description
We are seeking a highly organized and detail-oriented Virtual Assistant to manage the operational paperwork and administrative tasks for our food manufacturing business. In this role, you will be responsible for handling all aspects of our inbound and outbound purchase orders, inventory management, production documentation, client/vendor communications, and general office administration.
Key Responsibilities:
Purchase Order Management:
Process and track inbound and outbound purchase orders for raw materials, packaging, and finished goods.
Liaise with suppliers and distributors to ensure timely delivery and accurate documentation.
Maintain a comprehensive database of all purchase orders and related documentation.
Inventory Management:
Update and maintain accurate records of raw material and finished goods inventories.
Coordinate with the production team to ensure inventory levels are aligned with production schedules.
Generate inventory reports and forecasts as needed.
Production Documentation:
Create and manage production-related paperwork, such as pallet tags, bills of lading, and production team schedules.
Ensure all production documentation is accurate, complete, and properly filed.
Communicate with the production team to gather and update information as needed.
Client and Vendor Communications:
Serve as the primary point of contact for clients, distributors, and logistics carriers.
Respond to inquiries, update delivery schedules, and resolve any discrepancies in a timely manner.
Maintain a professional and courteous demeanor in all communications.
Office Administration:
Manage the owners’ email inbox and calendar, ensuring timely responses and organization.
Assist with digital file organization and document management.
Provide general administrative support as needed.
Bookkeeping and Invoicing:
Process invoices and attach receipts to expenses using QuickBooks.
Ensure all financial records are accurate and up-to-date.
Collaborate with the accounting team to provide financial reports and information as required.
Qualifications:
2+ years of experience as a virtual assistant or in a similar administrative role, preferably in the food manufacturing or CPG industry.
Excellent organizational and time management skills, with the ability to prioritize tasks and meet deadlines.
Strong attention to detail and a proven track record of accuracy in data entry and record-keeping.
Proficient in using office productivity software, such as Microsoft Office and Google Suite.
Experience with QuickBooks or other accounting software is a plus.
Excellent written and verbal communication skills, with the ability to interact professionally with clients, vendors, and internal team members.
Ability to work independently and proactively, with a customer-focused mindset.
