We are currently seeking a motivated and organized Virtual Assistant to join our team and support our mission.

Requirements:

• Fluent English: Strong communication skills in both written and verbal English.
• Customer Service: Strong interpersonal skills for communicating with caregivers, clients, and managers.
• Organizational Skills: Excellent ability to manage schedules, emails, and data efficiently.
• Recruitment Experience: Proficiency in sourcing, shortlisting, and interviewing candidates.
• Technical Proficiency: Experience and/or willing to learn systems like AxisCare, Notion, GoTo, Slack, Indeed, Google Apps, and Nevvon.
• Administrative Skills: Experience in data entry, developing SOPs, and handling administrative tasks.
• Creative Skills: Ability to create visual and multimedia content is a plus.

Daily/Weekly Tasks and Responsibilities:

Recruitment and Onboarding:

• Source, shortlist, and interview potential caregivers on Indeed.
• Guide new caregivers through the orientation process, including online training and integration into the company’s system.
• Ensure all necessary documentation and credentials from caregivers are complete and up-to-date. Add them to Notion/AxisCare.

Scheduling and Coordination:

• Coordinate and organize caregivers’ work schedules to match client needs and availability.
• Manage calendars for interviews and meetings.

Communication:

• Handle incoming and outgoing emails efficiently to maintain clear communication with caregivers, clients, and managers.
• Manage phone calls using GoTo to provide support and information.
• Maintain open and effective communication with caregivers and clients through GoTo or AxisCare.
• Collaborate with management to discuss updates, issues, and strategic planning for the company’s growth.

Marketing and Lead Management:

• Execute marketing strategies and make calls to potential leads to expand the company’s client base.
• Research potential locations to distribute brochures and posters.

Administrative and Data Management:

• Accurately input and update information into the company’s database (AxisCare).
• Develop and revise Standard Operating Procedures to ensure consistency and quality in company operations.
• Track VA hours and activities using Toggl Track.

Creative Tasks:

• Create visual and multimedia content to support marketing, training, and internal communications.

Company Systems and Resources:

• AxisCare and Notion: For managing caregiver, client, and lead data, as well as caregiver notes, availability, and interview notes.
• GoTo: For calling and texting caregivers, clients, and leads.
• Slack: For messaging managers, providing updates, and sharing reports.
• Indeed: For posting job openings, searching for candidates, and managing applications.
• Google Apps: For creating, storing, and managing the company’s documents (Gmail, Google Drive, Google Docs, and Google Sheets).
• Toggl Track: For tracking VA hours and activities.
• Nevvon: For caregiver training and certification programs.
