Job Overview:
We are seeking a highly organized and skilled virtual assistant to support the management
of our multi-million dollar real estate portfolio. The successful candidate will be responsible
for assisting in various tasks essential to the efficient operation and growth of our real estate
investments. This role requires strong attention to detail, excellent communication skills,
and the ability to work independently in a virtual environment.
Responsibilities:
1. Administrative Support: Provide administrative assistance to the real estate portfolio
manager, including but not limited to managing calendars, scheduling
meetings, coordinating travel arrangements, and handling correspondence.
2. Document Management: Maintain and organize important documents related to property
acquisition, leasing agreements, financial records, and property management contracts.
3. Financial Management: Assist in monitoring and tracking financial data, including rental
income, expenses, budgets, and forecasts. Prepare financial reports and assist with budget
planning.
4. Tenant Communication: Act as a point of contact for tenants, responding to inquiries,
addressing concerns, and coordinating maintenance requests in a timely manner.
5. Property Maintenance: Coordinate with property management teams or contractors to
ensure timely maintenance and repairs across the real estate portfolio.
6. Market Research: Conduct research on real estate market trends, property values, rental
rates, and investment opportunities to support decision-making processes.
7. Data Analysis: Analyze property performance metrics and key performance indicators to
identify areas for improvement and optimization.
8. Legal Compliance: Assist in ensuring compliance with relevant laws, regulations, and
contractual obligations pertaining to real estate investments.
9. Project Management: Manage various projects related to property acquisition,
development, renovation, and disposition, ensuring deadlines are met and objectives are
achieved.
10. Communication and Reporting: Prepare presentations, reports, and updates for
stakeholders, summarizing key findings, progress, and challenges.
Skills and Qualifications:
1. Proven experience (2+ years) in real estate administration, property management, or
related roles.
2. Strong organizational and time management skills, with the ability to prioritize tasks and
meet deadlines effectively.
3. Excellent communication skills, both written and verbal, with the ability to interact
professionally with tenants, vendors, and stakeholders.
4. Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and familiarity with
property management software.
5. Analytical mindset with the ability to interpret financial data, conduct market research,
and make data-driven recommendations.
6. Attention to detail and accuracy in record-keeping and documentation.
7. Ability to work independently in a remote/virtual environment, demonstrating self-
motivation and initiative.
