A Nanny Match is a New York-based Nanny Agency that matches loving families with loving Nannies and Newborn Care Specialists. We ensure safety by thoroughly vetting candidates and the well-being of nannies with fair pay, benefits, and a respectful work environment. For almost ten years, we’ve provided superior customer service and a personalized matchmaking experience for caregivers and families.
We seek a well-rounded virtual administrative assistant to join our tight-knit team and help us grow, remain organized, and optimize client and candidate experience.
We offer a minimum of 25-30 hours per week. Depending on the right VA’s skill sets and schedule preference, a full-time, 40-hour-per-week position is possible.
The ideal candidate will be capable of the following responsibilities:
Manage the inbox.
Responding to client inquiries
Responding to candidates
Forwarding important information to the Owner and Director of ANM
Data and file management using Microsoft Office Suite, Google Product Suite,
Uploading documents
Implementing data
Mailchimp / Mass Emails to Clients and Candidates
Assistance with the creation and design of the emails
Keeping track of a U.S. holiday schedule for mass emails
Sending the emails
Assistance with Calendar Management and Scheduling:
Team meetings and 1:1s
Candidate availability for interviews
Reference calls
Meetings
Scheduling Out of Office reminders
Other scheduling as needed
Holiday, Employee Recognition, and Employee Anniversary reminders
Quarterly Nanny Outreach
Keeping track of their employment status
Update statuses on board
Google Reviews:
Keeping track of a list of clients and nannies for us to contact
Assistance with creating blog posts using AI and help with making edits.
Assistance with Research
Comparing subscription plans
Market research
Other research as needed.
Preparing Invoices
Assistance with contacting candidate references over email.
Phone line: assistance managing an AI-operated phone line.

REQUIREMENTS
You must be able to work about 20 hours per week between 9-5 pm EST.
At least 2 years of High-level Administrative Experience
Excellent written English language skills
Excellent multi-tasking skills and time management skills
Proficiency using Google Calendar, Google Sheets, Microsoft Office Suite, Excel, Zoom
Experience or comfortability learning how to create and send mass emails
Strong work ethic
Proactive; identify, communicate, and help solve problems
Responsiveness; timely responses to the team and candidates
Excellent customer service skills; mainly with with nanny candidates
Thoughtfulness and a passion for helping others
PLUSES (but not requirements)
Experience using platforms such as , , and Calendly.
Editing skills
Great verbal English language skills
AGREEMENT TERMS
Full-time hours can be offered to candidates who are capable of all listed job responsibilities, especially if you also have great communication skills to speak over the phone with potential clients and candidates.
This position is remote and you can work from anywhere.
We need you to be online with us during EST hours for at least 20 hours per week, between 9 a.m. and 1 or 2 p.m. EST.
If you are full-time, the rest of the hours can be of your choice; however, emails and correspondence must be scheduled for regular EST business hours.
You may request time off with advanced notice.
Philippine Holidays are honored.
Payment is received on Mondays of every week.
COMPENSATION
The pay range starts at $5-$8 USD per hour, depending on experience. Opportunity for pay increases as skills increase.
